Executive Administrative Assistant – Bilingual (Spanish/English)

$19.00 – $25.00 per hour (Based on Experience)

We also manage real estate and specialize in holiday decorating (Christmas). Our team is made up of top-tier professionals, and we’re proud to work with high-profile clients and networks.

Role Overview:
We are seeking a highly organized, bilingual (English 100%, Spanish 70%) Executive Administrative Assistant to support our Director and office operations. You’ll help manage scheduling, bookkeeping, client communications, project organization, and assist with vendor/contractor coordination. You’ll also support design and holiday decorating projects, requiring light physical work (lifting up to 50 lbs).

Key Responsibilities:

Perform general administrative tasks: answer phones, manage email, schedule meetings
Maintain accurate records, files, and reports
Create and manage profit and loss statements & balance sheets (QuickBooks + Excel required – at least 50% proficiency)
Order supplies, run errands, handle client/vendor communications
Assist in holiday decorating (seasonal) and light lifting
Occasional driving (Transit Connect van provided); must have reliable transportation & insurance
help with facility maintenace clients/ will be trained
order materials/ talk to clients

Qualifications:

Minimum: 1 years of college or associate (degree preferred – will verify)
Fluent English, conversational Spanish (70%)
Strong QuickBooks, Excel, Outlook, and general computer skills (will be tested)
Canva / google drive all experience a plus
Ability to multitask, stay organized, and work under pressure
Friendly, professional communication and customer service
Bonus if you have a design or holiday décor background/ or touch
Will help with advertisement and marketing / be able to place adds in social media and other areas in the internet we have google my business / get reviews
