POSITION OBJECTIVES: Under the direction of the Town Treasurer, the Assistant Treasurer performs administrative and financial duties to support the management of the Town’s finances. Responsibilities include assisting in the maintenance of accounting records, managing receivables and payables, reconciling accounts, and supporting other treasury functions. This position also serves as backup for the Town Treasurer, utility billing and payroll when needed.
General Financial Duties - are included but not limited to:
· Prepare, analyze, and reconcile general ledger accounts and journal entries.
· Assist in the preparation of financial reports and statistical data.
· Reconcile bank accounts on a monthly basis and resolve discrepancies promptly.
· Reconcile all accounts receivable entries and balances.
· Post all incoming payments, including accounts receivable, permits, utilities, and other town revenues.
· Receive and reconcile cash and deposits from all departments; post to the General Ledger.
· Maintain and reconcile petty cash fund; process and authorize refunds.
· Prepare financial correspondence and reporting as directed.
· Answer phones and assist the public courteously and professionally.
Accounts Payable:
· Enter and process invoices by matching purchase orders, receipts, and invoices following adopted procurement policy.
· Audit bills for accuracy, compliance, and resolve discrepancies.
· Process employee expense reports and other payables in the financial system.
· Post, adjust, and reconcile accounts payable journal entries.
· Verify vendor data including payment terms, tax details, and remittance information.
· Ensure timely invoice processing prior to monthly close.
· Respond to inquiries related to vendor payments and AP procedures.
· Maintain effective communication with procurement staff.
· Create and enter purchase orders (POs) into the system as required.
· Prepare unrecorded liabilities and ensure proper year-end accruals.
· Submit payments for approval by the Town Treasurer.
Utility Billing:
· Answer utility-related calls and assist walk-in customers.
· Process monthly water/sewer billing, including shut-off notices.
· Accept payments and issue receipts.
Other Duties:
· Attend Town Board meetings or Town events as needed.
· Performs the duties and responsibilities of the Treasurer in the Treasurer's absence, ensuring continuity of financial operations and compliance with organizational policies.
· Assists the Treasurer with preparation for the annual financial audit by organizing financial records, reconciling accounts, compiling supporting documentation, and responding to auditor requests as directed.
· Supports the Treasurer in maintaining accurate financial records, preparing reports, and ensuring timely completion of financial tasks.
· Payroll duties as assigned.
· Perform additional duties as assigned by the Town Treasurer or Town Manager.
Qualifications:
Must have a high school diploma, minimum of 3 years of accounting experience; municipal experience preferred
Must have a legal authorization to work in the United States of America. Valid Colorado Driver’s License. Must be able to pass background check and pre-employment drug test.
Knowledge, Skills, and Abilities:
- Must be able to operate office equipment such as computer, copy machine, ten-key calculator, ect.

- Excellent organizational and time management skills.
- Proficient in Microsoft Office Suite or similar software.
- Knowledge of grammar, spelling, and proper punctuation.
- Ability to perform clerical duties and handle clerical detail.

- Ability to establish and maintain a working relationship with other employees and the public.
Environmental Conditions:
Work is generally performed in an office environment.

Other Unique Requirements:
A flexible schedule may be required to fulfill organizational needs, including attending Town Board meetings, Workshops and Town events.
Education/Experience:
- Possess a high school diploma or GED equivalent.
- A minimum of two years of accounting experience with Government Accounting knowledge a plus.
- Pursue ongoing education to develop and maintain proficiency in accounting fundamentals relevant to the duties of the Assistant Treasurer.
