Full Job Description

Summary

The Customer Service Representative serves as a primary point of contact for winery storage partners while supporting accurate and well-documented inventory records. This role combines customer service, order processing, and inventory coordination responsibilities to ensure seamless communication between customers, warehouse operations, and accounting.

The position is responsible for accurate transportation order entry, inventory data integrity, internal inventory movements, discrepancy resolution, and proactive communication. Strong attention to detail, organization, responsiveness, and cross-department collaboration are essential.

Essential Duties and Responsibilities

Customer Service & Account Support

· Serve as a primary contact for winery storage partners.

· Onboard new customers, providing guidance on company policies, procedures, and systems.

· Respond promptly and professionally to phone and email inquiries regarding orders, inventory, shipping status, and documentation.

· Investigate and resolve customer questions, discrepancies, and concerns in a timely and solution-oriented manner.

· Maintain positive and professional customer relationships.

Order Processing & Documentation

· Accurately process storage and shipping wine orders in AMS and related systems.

· Create pallet tags, bills of lading, and other required documentation.

· Monitor order status and proactively communicate delays or discrepancies.

· Coordinate communication between customer service, warehouse, and transportation teams.

· Assist warehouse staff with product location and order clarification as needed.

Inventory Management & Control

· Accurately enter new products, adjustments, and transactions into inventory systems.

· Process internal inventory movements, transfers, and allocations.

· Maintain organized and up-to-date inventory files and documentation.

· Investigate and resolve inventory discrepancies and variances.

· Support cycle counts, annual inventory counts, audits, and reconciliation efforts.

· Ensure inventory records align with established company policies and procedures.

· Coordinate with warehouse, customer service, and accounting to resolve documentation issues.

Operational Support

· Support workflow during high-volume shipping periods.

· Cross-train in operational functions to provide department coverage.

· Participate in team meetings and provide updates to operations and management.

· Maintain working knowledge of company policies and safety guidelines.

· Assist with special projects and continuous improvement initiatives as assigned.

Other Duties

· Present information to and receive updates from management teams.

Physical Requirements

· Work is performed in an office, warehouse, and occasional outdoor environment.

· Frequently required to handle objects, tools, or controls and reach with hands and arms.

· Occasionally required to climb, balance, stoop, kneel, crouch, or crawl.

· Occasionally lift and/or move up to 36 pounds.

Problem Solving Requirements

· Provide effective, courteous, and solution-oriented customer service.

· Identify potential order or inventory issues and proactively coordinate resolution.

· Make routine decisions independently within established guidelines; escalate non-routine matters appropriately.

· Utilize inventory and order management systems to research discrepancies and ensure accuracy.

Qualifications

· High school diploma or GED required.

· 2–3 years of customer service, order processing, or inventory-related experience preferred.

· Practical experience in warehouse and inventory operations strongly preferred.

· Advanced proficiency in Microsoft Excel required.

· Experience with AMS, QuickBooks, or similar inventory/order management systems preferred.

· Wine industry experience a plus.

· Strong organizational skills with high attention to detail and accuracy.

· Ability to manage multiple priorities in a fast-paced environment.

· Strong written and verbal communication skills.

· Ability to read and interpret safety rules, operating instructions, and procedure manuals.

Regular and reliable attendance is an essential function of this position.
