Job Summary

We are seeking a dynamic and welcoming Recepcionista / Front Desk professional to be the first point of contact for our organization. This energetic role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. The ideal candidate will be highly organized, bilingual, and possess excellent communication skills to create a positive experience for visitors, clients, and team members alike. Duties

Greet and assist visitors, clients, and vendors with professionalism and warmth
Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
Handle front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings
Perform clerical tasks such as data entry, filing, proofreading, and maintaining office supplies
Utilize Microsoft Office (Word, Excel) and Google Workspace tools for document creation, editing, and communication
Support office management activities including bookkeeping with QuickBooks and basic bookkeeping tasks
Maintain organized records of correspondence, client information, and administrative documents
Assist with general office management duties to ensure a tidy and efficient workspace

Skills

Bilingual proficiency in Spanish and English to effectively communicate with diverse clients and team members
Strong office management skills with experience in clerical support and administrative tasks
Excellent computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills
Proven experience working at the front desk or in customer service roles with strong phone reception capabilities
Knowledge of multi-line phone systems and phone etiquette to handle inquiries professionally
Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Experience with bookkeeping software such as QuickBooks and general office software applications
Strong typing skills along with proofreading abilities to ensure accuracy in all communications
Effective client communication skills to support customer support initiatives and foster positive relationships
Time management skills to handle multiple responsibilities seamlessly while maintaining attention to detail
Personal assistant or calendar management experience is a plus for supporting executive or team schedules
