Administrative/Executive Assistant – Finance Department

Location: Metairie, LA
Job Type: Full-Time | Direct Hire
Schedule: Monday-Thursday: 8:00 AM - 5:00 PM | Friday: 8:00 AM - 1:00 PM
Salary: $48,000 - $55,000 (Based on Experience)

Partnering with an Established Organization

Merge Associates is partnering with a well-established organization to identify an experienced Administrative Assistant – Finance Department for client who is a mutual insurance company providing medical professional liability products.

This position will provide essential administrative support to the Finance Department and report directly to the Vice President of Finance. The ideal candidate will be highly organized, detail-oriented, and comfortable supporting a fast-paced finance environment while handling confidential information with professionalism and discretion.

This is an excellent opportunity for an administrative professional who enjoys working cross-functionally, managing multiple priorities, and being a key support partner to leadership.

Responsibilities

Provide administrative support to the Finance Department and Vice President of Finance.
Manage calendars, meetings, scheduling, and department communications.
Prepare, organize, and maintain financial documents, reports, and records.
Assist with data entry, document preparation, and tracking of financial information.
Coordinate internal communications and follow up on department-related tasks.
Maintain accurate files and ensure confidential information is handled appropriately.
Assist with expense reporting, invoices, purchase orders, and other finance-related administrative processes.
Support special projects and additional administrative needs as requested.
Collaborate with internal departments to ensure smooth business operations.

QualificationsRequired

Previous administrative support experience, preferably within a finance, accounting, or corporate environment.
Strong organizational skills with the ability to prioritize multiple tasks.
Excellent written and verbal communication skills.
High level of attention to detail and accuracy.
Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
Ability to handle confidential and sensitive information professionally.
Strong problem-solving skills and a proactive approach to supporting business needs.

Preferred

Experience supporting a Finance Department, Accounting team, or executive-level leadership.
Familiarity with financial documents, reporting, and administrative processes.
Experience working in a corporate office environment.

Compensation & Benefits

Competitive salary of $48,000-$55,000 (based on experience)
