Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of our condominium office environment. Your energetic approach and attention to detail will help foster a productive workplace, support our owners and guests, and enhance overall site satisfaction. The ideal candidate will possess strong administrative skills, technical proficiency, and excellent communication abilities to manage a variety of office tasks with enthusiasm, positivity, and professionalism.

Responsibilities

Manage front desk operations, including greeting visitors, answering phone systems, and calls with courteous phone etiquette.
Oversee office management duties such as filing, data entry, maintaining supplies, and organizing documents using productivity software like Microsoft Office and spreadsheets.
Coordinate scheduling, appointments, and calendar management for Home Owners Association Board members and monthly Board meetings as required for optimal productivity.
Handle clerical tasks including word processing, proofreading documents, preparing reports, agendas and meeting minutes with accuracy.
Support customer service type efforts by assisting owners, slip owners, realtors and guests via phone or in person, ensuring positive interactions and timely responses.
Maintain office records meticulously, including filing systems and digital accounting software inputs as necessary for financial tracking.
Assist with technical proficiency tasks such as troubleshooting basic computer issues or software applications to ensure seamless daily operations.
Coordinate with contractors and vendors working in the building to guarantee compliance with Insurance requirements and building rules and regulations.
Prepare informational packets for new mortgages and refinances from existing records and templates
Interface with realtors and title company professionals throughout the buying and selling process.

Qualifications

Proven experience in office management or administrative roles with a strong background in clerical work and customer support.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes.
Experience using QuickBooks, NetSuite or similar accounting software is highly desirable.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong verbal and written communication skills; bilingual abilities are a plus for client interaction.
Demonstrated computer literacy and technical proficiency across various productivity tools.
Previous experience at the front desk or in a personal assistant role is advantageous.
Ability to manage multiple responsibilities simultaneously while maintaining attention to detail.
