Full Job Description

Overview

Solace Clinic is seeking a Behavioral Health Facility Administrator to facilitate our outpatient clinic in Kent, WA. The Behavioral Health Administrative Facilitator provides administrative and operational support to ensure the efficient delivery of outpatient behavioral health and substance use disorder services. This position serves as a liaison between clients, clinical staff, referral partners, and community agencies while supporting regulatory compliance, scheduling, documentation workflows, quality assurance activities, and day-to-day clinic operations.

Responsibilities

Client Access & Intake Coordination

Welcome clients and visitors while maintaining a professional, trauma informed, and recovery oriented environment.
Coordinate new client inquiries, eligibility screening, and appointment scheduling.
Collect required intake documentation, releases of information, insurance information, and demographic forms.
Verify insurance eligibility and benefits prior to admission when applicable.
Coordinate referrals to internal and external behavioral health providers and community resources.
Maintain waitlists and monitor timely access to services.

Scheduling & Operational Support

Manage clinician schedules and coordinate appointments, group sessions, and staff calendars.
Confirm appointments and communicate scheduling changes with clients.
Monitor clinic schedules to maximize provider productivity while supporting client access.
Assist with coordination of telehealth appointments and related technology.

Documentation & Regulatory Compliance

Monitor client charts for completion of required administrative documentation.
Track required signatures, consent forms, releases, treatment documentation deadlines, and other non-clinical record requirements.
Assist with preparation for licensing reviews, audits, Medicaid reviews, and quality assurance activities.
Maintain confidential records in accordance with HIPAA, 42 CFR Part 2, and agency policies.
Assist leadership in maintaining policies, procedures, and administrative records required by Washington State behavioral health regulations.

Administrative Coordination

Serve as the primary administrative contact for clients, referral sources, and community partners.
Answer incoming phone calls and respond to general inquiries professionally and promptly.
Coordinate incoming referrals and distribute information to appropriate clinical staff.
Maintain office supplies, forms, educational materials, and administrative resources.
Support meeting preparation, agendas, minutes, and follow-up activities.

Quality Improvement Support

Track key operational metrics including appointment utilization, no-show rates, client admissions, discharges, and referral outcomes.
Assist leadership with quality improvement projects and performance improvement initiatives.
Monitor administrative workflow efficiency and recommend process improvements.
Generate routine operational reports from the electronic health record (EHR).

Staff Support

Assist with onboarding activities for new employees.
Coordinate required trainings, credential tracking, and administrative personnel records.
Maintain training logs and compliance documentation.
Support communication among administrative, clinical, and leadership teams.

Compliance & Confidentiality

Maintain compliance with:
Washington State Department of Health Behavioral Health Agency regulations
HIPAA
42 CFR Part 2 confidentiality requirements
Medicaid documentation standards
Agency policies and procedures
Protect confidential client information at all times.

Minimum Qualifications

Associate degree preferred (High School Diploma or equivalent required).
Minimum two years of healthcare, behavioral health, or substance use disorder administrative experience preferred.
Experience working with Electronic Health Records (EHR/EMR).
Strong organizational and time-management skills.
Excellent customer service and communication skills.
Ability to manage multiple priorities in a fast-paced outpatient environment.
Proficiency in Microsoft Office and Google Workspace.

Preferred Qualifications

Background in outpatient clinic operation.
Experience in a Washington State behavioral health or SUD treatment agency.
Familiarity with ASAM Criteria and behavioral health terminology.
Experience with Medicaid, managed care organizations, and insurance verification.
Bilingual candidates are encouraged to apply.
