Position Title: Human Resources Student Assistant Level II
Department: Human Resources
Reports To: Payroll Coordinator

SUMMARY OF RESPONSIBILITIES

The Human Resources Student Employee Assistant provides clerical and administrative support to the Human Resources Office in support of the University’s mission, vision, and values. This position assists with daily office operations, including customer service, recordkeeping, data entry, filing, document preparation, and general administrative tasks.

The Student Employee serves as a first point of contact for visitors and supports the HR team in maintaining accurate, organized, and confidential records while ensuring a professional and welcoming office environment.

ESSENTIAL FUNCTIONS

Customer Service & Front Desk Support

Greet and assist visitors to the Human Resources Office and direct them to appropriate staff or scheduling resources.
Provide professional, friendly, and courteous customer service at all times.
Answer basic inquiries and assist with general office communications as directed.
Confidentiality & Professionalism
Maintain strict confidentiality regarding all HR-related information, records, and conversations.
Demonstrate professionalism, maturity, and discretion when handling sensitive information.
Exercise sound judgment in all interactions within the HR Office.

Administrative Support

Perform general clerical duties including copying, scanning, filing, shredding, and mail distribution.
Assist with data entry, document preparation, and correspondence using Microsoft Word.
Create and maintain spreadsheets and reports using Microsoft Excel.
Assist with organizing and maintaining HR files, records, and office materials.

Records & File Management

Support maintenance and organization of employee and departmental files.
Assist with filing and updating confidential records in accordance with retention procedures.
Help ensure accurate and orderly archival of HR documentation.

Office Operations & Supplies

Assist with maintaining office supplies and organizing supply inventory.
Support office equipment use including printers, copiers, scanners, and shredders.
Help ensure office cleanliness, organization, and safety standards are maintained.
Assist with opening and closing procedures for the HR Office as needed.

Projects & HR Support Functions

Process Applications each working day.
Assist with HR projects such as onboarding support, training setup, and documentation preparation.
Support employee training and onboarding logistics, including student worker onboarding assistance.
Help maintain HR calendars, tracking lists, and basic reporting tools.
Perform other duties and special projects as assigned by Supervisor.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED

Required

High school diploma or equivalent (or current enrollment as a student in good standing).
Must be eligible for Federal Student Employee (if applicable).
Strong attention to detail and organizational skills.
Ability to maintain strict confidentiality at all times.
Professional communication and interpersonal skills.
Basic proficiency in Microsoft Office (Word, Excel, Outlook).
Ability to follow instructions and manage multiple tasks in a fast-paced environment.

Preferred

Prior office or customer service experience.
Familiarity with Human Resources or payroll terminology.
Experience using Microsoft Office applications at an intermediate level.
Ability to type 50–60 words per minute.
