Full Job Description

Office Assistant *Full-Time

We are looking for a reliable, professional, and organized Office Assistant to join our team. This is a full-time, Monday–Friday position from 8:00 AM–4:30 PM, year-round.

The Office Assistant will be responsible for providing excellent customer service and helping keep our office operations running smoothly.

Job Responsibilities

Provide excellent customer service and maintain strong communication with clients and team members.
Answer phone calls professionally and assist customers with questions and scheduling.
Confirm and schedule service appointments with accuracy and professionalism.
Respond to emails and communicate with customers through our various platforms.
Assist with creating and processing invoices.
Conduct account follow-ups to ensure customer satisfaction and resolve outstanding matters.
Communicate effectively with manufacturers and fireplace dealers regarding products, parts, pricing, and availability.
Order parts and supplies as needed for customer projects.
Pull and manage permits required for fireplace installations.
Maintain inventory of office and warehouse supplies, keeping items stocked and organized.
Maintain accurate customer and job information.
Communicate effectively with the field team to ensure jobs are scheduled and completed efficiently.
Support general office operations and assist with administrative tasks as needed.
QuickBooks experience is a plus!

The ideal candidate is organized, dependable, professional, responsible, detail-oriented, and comfortable communicating with both customers and team members. Strong computer, phone, and customer service skills are important. Previous office or administrative experience is preferred but not required.
