Overview
We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a professional and supportive environment.

Responsibilities

Greet visitors and clients with enthusiasm, ensuring they feel welcomed and valued
Answer multi-line phone systems promptly and professionally, directing calls efficiently
Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
Maintain accurate data entry, filing, and record-keeping for all administrative tasks
Handle incoming correspondence, emails, and inquiries with clarity and courtesy
Support office management duties such as supply inventory, document proofreading, and filing systems
Assist with basic bookkeeping tasks using QuickBooks or similar software when needed
Provide customer support by addressing questions or concerns promptly and effectively
Perform clerical duties including typing, proofreading, data entry, and maintaining organized files
Support other administrative functions such as calendar management and personal assistant tasks as required

Skills

Proven experience in office management or administrative support roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Familiarity with QuickBooks or bookkeeping experience is a plus
Strong customer service skills with professional phone etiquette and interpersonal communication abilities
Ability to handle multi-line phone systems efficiently while maintaining professionalism under pressure
Bilingual skills are highly desirable to serve diverse client needs effectively
Exceptional organizational skills with keen attention to detail for proofreading, filing, and data entry tasks
Time management skills to prioritize tasks effectively in a fast-paced environment
Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
Knowledge of office equipment operation including printers, scanners, and fax machines
