Office Administrator / Construction Operations Coordinator

$24.00–$32.00 per hour, depending on experience.

Job Overview

Power Grid Utilities, LLC is seeking an experienced Office Administrator / Construction Operations Coordinator to support our growing utility construction business. This position plays a vital role in keeping field operations running efficiently by coordinating work orders, onboarding union employees, processing payroll, preparing invoices, and maintaining DOT compliance records.

The ideal candidate has experience working in a construction, utility, or contractor office and is comfortable communicating with field crews, project managers, customers, and union representatives.

ResponsibilitiesWork Order Management

· Coordinate daily work order workflow from assignment through completion.

· Track project status and ensure work orders are completed accurately.

· Collect field documentation, photos, and required paperwork.

· Maintain organized electronic and paper project files.

· Assist project managers with scheduling and administrative support.

Employee Onboarding

· Complete onboarding for new union employees.

· Prepare hiring documents and personnel files.

· Verify employment eligibility and required documentation.

· Coordinate orientation and safety paperwork.

· Maintain confidential employee records.

Payroll

· Process weekly payroll for field employees.

· Review timecards for accuracy.

· Track overtime, job costing, and labor hours.

· Resolve payroll discrepancies with employees and supervisors.

Invoicing & Billing

· Prepare customer invoices based on completed work.

· Verify work orders before billing.

· Maintain billing records and assist with collections.

· Support accounts receivable activities.

DOT Compliance

· Maintain Driver Qualification Files (DQFs).

· Track CDL licenses and Medical Examiner Certificates.

· Schedule drug and alcohol testing.

· Monitor DOT compliance deadlines.

· Maintain vehicle inspection and maintenance records.

Administrative Duties

· Answer incoming phone calls and emails.

· Maintain spreadsheets and reports.

· Schedule meetings and appointments.

· Order office supplies.

· Assist management with daily operations.

Qualifications

· Minimum 2 years of office administration experience.

· Experience working in the construction industry strongly preferred.

· Experience with payroll processing.

· Knowledge of invoicing and accounts receivable.

· Experience maintaining DOT/FMCSA compliance records is preferred.

· Strong Microsoft Office skills (Excel, Word, Outlook).

· Experience with QuickBooks and/or ADP is a plus.

· Excellent organizational, communication, and multitasking skills.

· Ability to work independently in a fast-paced environment.
