Medical Patient CoordinatorPosition Summary

The Medical Patient Coordinator serves as a key member of our patient care team, ensuring an exceptional experience from the initial consultation through surgery, recovery, and follow-up care. This individual acts as the primary liaison between patients, providers, the in-house Ambulatory Surgery Center (ASC), and hospital partners, while providing administrative support to physicians and advanced practice providers.

The ideal candidate is highly organized, compassionate, detail-oriented, and thrives in a fast-paced environment where exceptional customer service and accuracy are essential.

Essential Duties & Responsibilities

Serve as the primary point of contact for surgical patients throughout their treatment journey.
Guide patients through consultations, surgical scheduling, pre-operative preparation, and post-operative appointments.
Answer patient questions promptly and professionally while providing outstanding customer service.
Coordinate communications between patients, providers, nursing staff, and outside facilities.
Ensure patients receive all necessary instructions, educational materials, and required paperwork.
Maintain patient confidentiality in accordance with HIPAA regulations.

Surgical Scheduling

Coordinate surgical cases for both the in-house Ambulatory Surgery Center (ASC) and affiliated hospitals.
Schedule operating room time, surgeons, anesthesia providers, assistants, and necessary equipment.
Verify availability of implants, special instruments, and supplies when applicable.
Coordinate pre-operative testing, medical clearances, laboratory work, imaging, and specialty consultations.
Confirm all required documentation has been received prior to surgery.
Manage surgical schedule changes, cancellations, and urgent additions while minimizing disruptions.

Provider Administrative Support

Provide administrative support to physicians and advanced practice providers.
Assist with daily schedules to maximize efficiency.
Prepare patient charts and ensure documentation is complete prior to appointments.
Coordinate provider meetings, referrals, and outside communications as needed.
Assist with correspondence, forms, disability paperwork, prior authorizations, and other administrative requests.

Insurance & Financial Coordination

Obtain insurance authorizations when applicable.
Assist patients in understanding scheduling requirements related to insurance approval.
Coordinate with the billing department regarding surgery dates, deposits, and payment deadlines.
Ensure all required documentation is completed prior to scheduled procedures.

General Office Responsibilities

Maintain accurate electronic medical records.
Document patient interactions thoroughly and accurately.
Answer incoming calls and respond to patient inquiries in a timely manner.
Collaborate closely with physicians, nurses, front desk staff, surgical staff, and management.
Assist with workflow improvements to enhance patient satisfaction and operational efficiency.
Perform other duties as assigned.

Qualifications

High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Minimum of 5 years of experience in a medical office; plastic surgery, cosmetic surgery, dermatology, or surgical specialty experience strongly preferred.
Previous surgical scheduling experience highly desirable.
Knowledge of medical terminology and surgical procedures.
Experience with electronic medical records (EMR/EHR) systems.
Strong computer skills, including Microsoft Office.
Excellent verbal and written communication skills.
Exceptional organizational and multitasking abilities.
Ability to maintain professionalism and confidentiality in all situations.
Ability to work independently while contributing positively to a collaborative team environment.

Preferred Skills

Experience scheduling procedures in both an ASC and hospital setting.
Knowledge of cosmetic and reconstructive plastic surgery procedures.
Familiarity with both in-network and out-of-network insurance processes.
Experience working in a luxury patient experience environment.
Strong problem-solving and conflict-resolution skills.
Ability to anticipate patient needs and proactively address concerns.
