Full Job Description

We’re looking for an Administrative Coordinator to support our estimating and preconstruction process. This role plays a key part in keeping project opportunities organized, documentation structured, and timelines visible as work moves through the front end of our projects. This is a high-trust role responsible for owning the administrative and coordination aspects of preconstruction, helping ensure everything behind the scenes is organized, accurate, and ready for execution.

Responsibilities:

Maintain the estimating bid calendar and ensure upcoming opportunities and deadlines are clearly organized and visible.
Organize and maintain project files, including plans, specifications, photos, and related documentation.
Support the preparation and submission of bid packages, including coordinating signatures and notarization.
Ensure all required documents and information are collected and complete prior to bid submission.
Assist with contacting subcontractors and MBE vendors to gather pricing and support bid requirements.
Manage the warranty process by submitting required documentation and maintaining accurate records for tracking.
Help maintain structured, consistent processes that support preconstruction and estimating activities.

Qualifications:

Experience in an administrative or coordination role with strong organizational and time management skills.
Ability to manage multiple deadlines and priorities with consistent follow-through.
Strong attention to detail and commitment to accuracy.
Proficiency in Microsoft Office and Google Workspace tools.
Experience with Dataforma or similar systems is a plus.
Construction or related industry experience is helpful, but not required.
Approximately 2-4+ years of relevant experience, with the ability to take ownership of responsibilities and grow within the role.
