Job Summary
We are seeking a detail-oriented and proactive Accounts Payable & Administrative Coordinator to join our finance team. This role is essential in managing the company’s accounts payable processes, supporting administrative functions, and ensuring the accuracy of financial records. The successful candidate will contribute to maintaining efficient financial operations, compliance with accounting standards, and supporting overall organizational effectiveness.

Payable Functions:

Responsible for high volume invoice processing across multiple lines of business
Kittery Trading Post, 31 Badgers, Maine Ocean Lobster, Lobster Pot Shops
Assist with merchandise vendor payments as needed.
Authorize and execute vendor payments via check and ACH twice weekly
Maintain invoice files, reconcile statements, and resolve disputes
Credit card administrator
Card reconciliation & payments
Maintaining employee cards, card limits, resolving disputes, etc.
Processing of buying group twice monthly invoice
Annual assistance with routine audits
Collection of vendor W9s and year end 1099 disbursement

Administrative Functions:

Responsible for monitoring and renewing all licenses for multiple lines of business
Primary contact person for supply ordering
Record keeper of Vendor donations and other event activity

Accounting Functions:

Assist Controller with various general ledger tasks
Administrative spreadsheet maintenance
Opportunity to expand accounting responsibilities over time, including general ledger support and financial reporting assistance.

Skills

Strong organizational skills with exceptional attention to detail and accuracy
Ability to manage multiple priorities and deadlines in a fast-paced environment
Proficiency in Microsoft Office, especially Excel and spreadsheet management
Experience with accounting or ERP software systems
Strong communication and customer service skills when working with vendors and internal departments
Ability to maintain confidentiality and handle sensitive financial information
Problem-solving skills with the ability to research and resolve discrepancies independently
Strong time management and follow-through skills
Ability to work collaboratively across multiple business entities and departments
Comfortable handling both financial and administrative responsibilities

Experience

2–5 years of experience in accounts payable, accounting support, bookkeeping, or administrative finance roles preferred
Experience processing high-volume invoices strongly preferred
Prior experience with vendor payment processing, reconciliations, and statement management preferred
Experience administering corporate credit card programs is a plus
Knowledge of 1099 reporting and W9 collection preferred
Experience supporting audits or financial reporting processes preferred
Associate degree in Accounting, Business Administration, Finance, or related field preferred; equivalent experience considered

Pay: $20.00 - $25.00 per hour
