MC Supply & Service, Inc. | Valparaiso, Indiana: ON-SITE | Full-Time

Position Overview

MC Supply & Service, Inc. is looking for an experienced Inside Sales & Office Coordinator to support our customers and day-to-day business operations.

This is a versatile position that combines customer service, inside sales, accounting/office administration, purchasing, and light inventory/shipping responsibilities.

The ideal candidate has previous hands-on experience with QuickBooks, Zoho Books, or similar accounting software and is already comfortable with purchase orders, vendor bills, accounts payable, customer payments, invoicing, and customer accounts.

When customer/order activity is slower, this person will proactively reach out to existing customers, follow up on quotes and past orders, and look for opportunities to grow existing accounts.

Responsibilities

Answer incoming calls and assist customers with orders, products, pricing, and account questions.
Enter customer orders, quotes, invoices, and purchase orders.
Use QuickBooks, Zoho Books, or similar accounting software to manage vendor bills, payments, customer payments, and account transactions.
Process and pay vendor bills/accounts payable.
Communicate with vendors regarding pricing, availability, and orders.
Assist with inventory, receiving, and light shipping.
Maintain accurate customer and vendor information in our accounting and CRM systems.
Follow up on quotes, open orders, backorders, and customer requests.
Make outbound calls to existing and prospective customers when appropriate.
Build relationships with current customers and identify opportunities to cross-sell related products, parts, supplies, equipment, and services.
Learn our products and customers well enough to recognize additional opportunities and make useful recommendations.
Assist with general office and administrative duties as needed.

Qualifications

Previous hands-on experience with QuickBooks, Zoho Books, or similar accounting software is required.
Experience creating purchase orders, entering vendor bills, processing payments, and managing customer accounts.
Customer service and/or inside sales experience.
Strong phone and communication skills.
Organized, dependable, and detail-oriented.
Comfortable making outbound calls and talking with customers.
Self-motivated and able to stay productive during slower periods.
Ability to learn technical products and become knowledgeable about our customers' needs.
Experience with Zoho CRM, inventory, purchasing, or shipping/receiving is a plus.

The Right Person

We're looking for someone who can wear several hats. Some days may be busy with customer calls, orders, purchasing, and accounting. Other days may be slower, and we expect this person to take initiative by making customer follow-up calls, checking on quotes, reconnecting with customers, and looking for opportunities to grow existing accounts.

This is not a pure receptionist or bookkeeping position. We want someone who enjoys working with customers and is comfortable turning relationships into sales opportunities.

Experience with QuickBooks/Zoho Books and the ability to independently handle everyday accounting transactions is an important part of this position.

Pay: $49,429.09 - $59,527.51 per year
