Full Job Description

The Mail Operations Associate supports the daily activities of the Mail Services department by assisting with mail preparation, processing, and distribution operations. This role is ideal for individuals who are detail-oriented, eager to learn mailing industry practices, and comfortable working in a hands-on production environment. Responsibilities include operating mail-processing equipment, preparing bulk and special mailings, ensuring compliance with postal regulations, and maintaining accurate mailing records.

The successful candidate will possess strong organizational and computer skills, a commitment to accuracy, and the ability to work both independently and collaboratively in a fast-paced environment. This position requires regular lifting, moving, and transporting of mail trays, boxes, and packages weighing up to 50 pounds. Team members may also provide support across various mail center functions and assist with additional operational needs as assigned.

As part of University Printing and Mail (UPM), the Mail Operations Associate contributes to the university's mission by helping deliver efficient, reliable, and cost-effective mailing services to the campus community. While the primary focus of this role is Mail Services, employees may have opportunities to assist in other areas of UPM based on departmental needs.

Assist with operating addressing equipment, mail inserters, and other mail-processing machinery.
Learn and apply USPS and other carrier regulations and guidelines.
Help ensure mailings meet postal requirements and qualify for the appropriate mailing rates.
Stay informed of changes in postal regulations, classifications, and services.
Perform hands-on mail preparation tasks, including folding, inserting, sealing, labeling, and sorting mail.
Assist with special mailings, bulk mail projects, and other mail center activities.
Lift, move, and transport mail trays, boxes, and packages weighing up to 50 pounds.
Support team operations and other duties as assigned.
Review mailing data for accuracy and completeness.
Maintain records and documentation related to mailing activities.
Exercise close attention to detail to support quality and efficiency standards.
Perform basic equipment setup, maintenance, and cleaning as needed.
Follow established safety procedures when using equipment.
Utilize basic computer applications to process and track mailing information.
Assist other areas within University Printing and Mail (UPM) as operational needs require.

Required Qualifications

High School Diploma
Ability to learn new processes, equipment, and postal regulations through on-the- job training.
Basic computer skills and familiarity with email and standard office applications.
Ability to work effectively in team environment and follow established procedures.
Demonstrated reliability, attention to detail, and hands-on work.
Ability to operate or learn to operate mailing equipment.
Ability to perform repetitive hand-work and manual mail processing tasks.
Ability to lift, carry, push, and pull up to 50 pounds.
Strong organizational and team work skills.

Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment-based visa status.

Preferred Qualifications

Ability to operate pallet jack.
