Full Job Description

B & T Health is a professional outpatient mental health clinic dedicated to providing compassionate, evidence-based care to individuals, couples, and families in our community. Our team values professionalism, confidentiality, and creating a welcoming environment where clients feel safe and supported.

We are seeking a reliable, organized, and professional Administrative Assistant / Front Desk Receptionist to serve as the first point of contact for clients and to support the daily administrative operations of the clinic.

Position Overview:

The Front Desk Receptionist plays a vital role in ensuring the clinic operates smoothly and efficiently. This position requires strong organizational skills, attention to detail, professionalism, and a clear understanding of HIPAA regulations and the importance of maintaining strict confidentiality when handling protected health information (PHI).

Key Responsibilities:

Responsibilities include:
- Greet visitors, clients, and employees in a friendly, professional manner.
- Answer, screen, and route incoming phone calls.
- Schedule and confirm appointments.
- Check guests in and out and maintain visitor records.
- Respond to general questions and provide accurate information.
- Receive, sort, and distribute mail, packages, and deliveries.
- Maintain a clean, organized, and welcoming reception area.
- Enter and update customer or visitor information in company systems.
- Perform basic administrative duties, including filing, scanning, copying, and data entry.
- Accept payments and issue receipts when required.
- Monitor office supplies and notify management when items need to be reordered.
- Communicate messages promptly to the appropriate staff members.
- Follow company procedures regarding privacy, security, and workplace safety.
- Assist coworkers and management with additional clerical tasks as needed.

Qualifications:

Previous front desk experience preferred (healthcare or mental health setting a plus).
Strong organizational and time-management skills.
Professional communication and interpersonal skills.
Ability to handle sensitive information with strict confidentiality.
Basic knowledge of HIPAA regulations or willingness to learn.
Comfortable interacting with clients in a mental health setting with empathy and professionalism.
Proficiency with computers, email, scheduling systems, and basic office software.
Ability to multitask in a fast-paced environment.

Ideal candidates should be dependable, punctual, courteous, comfortable using phones and computers, and able to manage multiple tasks while providing excellent customer service.
