Full Job Description

Job Summary

The Administrative Assistant provides administrative and client support to the Managing Attorney and the Office of Immigrant Services (OIS) Immigration Legal Services program. This position supports the efficient operation of the office through client intake and scheduling, records management, communications, payment processing, and other administrative functions.

The position also provides English-Spanish interpretation and translation services to facilitate communication between attorneys and clients and assists with coordinating Spanish-speaking volunteers who support translation needs.

Responsibilities

Answer and screen incoming calls from new and existing clients, determine the general nature of the legal matter and program eligibility, and provide appropriate referrals when services are not available through OIS.
Maintain accurate logs of voicemails, client inquiries, referrals, and other communications as required.
Coordinate the new client intake process, including gathering preliminary information, scheduling eligible clients for clinics or appointments, and communicating next steps.
Maintain the office calendar and coordinate appointments, meetings, clinics, and other activities.
Assist with managing walk-in clients and direct individuals without appointments to the appropriate resources or staff.
Provide English-Spanish interpretation during client and attorney interactions as needed.
Translate documents between English and Spanish as directed by the Managing Attorney or other authorized staff.
Coordinate Spanish-speaking volunteers who assist with translation and interpretation needs.
Maintain accurate and confidential client and office records in accordance with organizational and legal requirements.
Assist clients with payments by phone or in person and maintain related documentation.
Accompany attorneys to court hearings or other legal proceedings as needed for interpretation or administrative support.
Assist with general office operations, including correspondence, document preparation, filing, copying, and other administrative functions.
Collaborate with attorneys, administrative staff, volunteers, and other OIS personnel to support effective client service and office operations.
Assist with promoting OIS services and communicating program information to clients, community partners, and other stakeholders.

Requirements

Must be able to move objects weighing up to 25 lbs
Maintain a high level of professionalism, integrity, trustworthiness, and confidentiality
Successfully complete all required screenings and maintain required training and certifications
Support the teachings of the Catholic Church and embody the mission, values, and culture of Catholic Charities through professional conduct and daily interactions
Regular and predictable on-site attendance is required

Qualifications

Bilingual in Spanish and English, with demonstrated fluency in speaking, reading, and writing in both languages
Two years of college or equivalent combination of education and relevant work experience
Excellent verbal and written communication skills in English and Spanish
Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment
Strong attention to detail and ability to maintain accurate records
Ability to communicate effectively and compassionately with individuals from diverse backgrounds and circumstances
Proficiency with Google Workspace, Microsoft Word, Excel, and PowerPoint
Demonstrated ability to maintain confidentiality and handle sensitive client information appropriately
Interest in immigration law, immigrant services, or nonprofit social services preferred

Pay: $20.00 - $22.00 per hour
