Overview

We are seeking a dynamic and highly organized Administrative Services Officer to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities

Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
Handle multi-line phone systems efficiently, ensuring clear communication and prompt responses to inquiries.
Maintain accurate data entry records using Microsoft Office tools, including Word and Excel, while managing filing systems for easy retrieval of documents.
Oversee calendar management and scheduling for meetings, appointments, and events with excellent time management skills.
Perform bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping and invoicing processes.
Provide exceptional customer service by addressing client needs promptly and professionally, ensuring confidentiality when handling sensitive information.
Support office management tasks such as supply ordering, document proofreading, and maintaining a tidy, organized workspace.

Requirements

Proven office experience with strong clerical skills including data entry, filing, and document proofreading.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy.
Experience with QuickBooks or comparable bookkeeping software is highly desirable.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Bilingual abilities are a plus for communicating with diverse clients and team members.
Strong phone communication skills coupled with professional phone etiquette.
Ability to handle confidential information discreetly while maintaining high levels of accuracy in recordkeeping.
Previous experience in customer support or client communication roles is preferred.
Personal assistant or calendar management experience will be considered an asset.
