Overview
.The Shipping Scheduler / Manager provides overall oversight and supervision of the Shipping and Receiving function at the Spring Grove location. This role is responsible for creating and maintaining a valid shipping schedule, ensuring accurate and on-time movement of material in and out of the facility, leading the yard and shipping team, and serving as a critical link between the shop, project management, and customers. The position combines hands-on operational knowledge with strong planning, coordination, and leadership responsibilities.
Duties
I. Leadership & Supervision of Shipping and Receiving
- Provide day-to-day oversight and supervision of the Shipping and Receiving department and yard operations.
- Direct, train, coach, and develop the General Yard / Shipping Associate(s) and any other shipping/receiving personnel.
- Set clear expectations for safety, accuracy, cleanliness, and on-time performance; hold the team accountable.
- Ensure the yard, bunkers, staging areas, and shipping office remain organized, clean, and efficient.
- Coordinate coverage and support across shifts as needed to keep material flowing and equipment ready.
- Foster a culture of ownership, continuous improvement, and professional communication with drivers, shop personnel, and customers.
II. Shipping Schedule Creation & Coordination
- Create, maintain, and ensure execution of a valid shipping schedule that optimizes material flow, equipment, and resources while meeting customer requirements.
- Establish and track start dates, production readiness, and ship dates for jobs; update the schedule as progress and customer information change (change orders, revised ship dates, material status, etc.).
- Review short- and longer-term forecasts to identify capacity, material, or logistical issues and recommend appropriate action.
- Schedule trucks for galvanizer runs and all other outbound and inbound deliveries; coordinate timing to minimize detention and maximize efficiency.
- Ensure packing slips and related documents are prepared and distributed to the yard team in advance of shipping (target: two days prior when possible).
- Participate in production meetings; take notes on jobs and translate relevant information into schedule updates and action items.
- Work closely with shop supervisors, project managers, and other departments to coordinate activities and resolve conflicts that affect shipping readiness.
III. Shipping Control & Outbound Accuracy
- Own the accuracy and on-time performance of all outgoing shipments.
- Oversee preparation, tracking, and filing of packing slips and bills of lading.
- Ensure loads are verified against paperwork, properly staged, safely loaded, and documented (including photographs when required).
- Confirm all required paperwork and signatures are obtained from drivers and returned to the office in a timely manner.
- Establish and maintain check-and-balance procedures so that shipments leave complete, undamaged, and on schedule.
IV. Receiving Control & Inbound Accuracy
- Ensure all incoming material is checked in against packing slips, inspected for damage, properly tagged, and moved to the correct staging area the same day.
- Maintain clear processes for small packages, consumables, nuts, bolts, and stock items, including organization and a simple checkout system.
- Anticipate incoming deliveries and ensure special-attention items are processed efficiently.
- Keep accurate logs and records so questions about material status can be answered quickly.
V. Inventory Oversight & Material Flow
- Maintain control of consumables, products, paper, and steel inventory to prevent shortages that delay production while avoiding unnecessary overstocking.
- Ensure material returning from the galvanizer is sorted, labeled by job, and organized by bunker.
- Know (and ensure the team knows) where material is staged for its next operation—purchased items, fabricated parts, or sub-assemblies.
- Coordinate shop material setups a day ahead when required and support the flow of job-specific material through the shop.
- Support the purchase order process by ensuring material arrivals are communicated and paperwork is routed to project management as needed.
VI. Communication & Stakeholder Interface
- Serve as the primary internal point of contact for shipping and receiving status, issues, and schedule changes.
- Communicate professionally and proactively with truck drivers, carriers, shop supervisors, project managers, and customers as needed to keep shipping and receiving on schedule.
- Escalate capacity, material, or logistical risks early and recommend practical solutions.
VII. Overall Role & Impact
The Shipping Scheduler / Manager is responsible for getting material in the door and projects out the door accurately and on time. This position is an integral part of the LaX Industries team and a critical link between the shop, project management, and our customers. Success is measured by on-time shipping performance, accuracy of inbound and outbound transactions, effective use of the shipping schedule, team development, and the ability to anticipate and resolve issues before they impact customers or production.
Qualifications & Requirements
- Proven experience in shipping/receiving, warehouse/yard operations, production scheduling, or a related manufacturing environment; supervisory or lead experience preferred.
- Demonstrated ability to create and maintain schedules, track job readiness, and coordinate across departments.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
- Proficiency with MS Excel, Word, and other common business software; willingness to learn company-specific systems.
- Excellent verbal and written communication skills; professional demeanor with internal teams, drivers, and external partners.
- Working knowledge of manufacturing processes and material flow preferred; ability to learn galvanizer and fabrication-related logistics.
- Forklift or material-handling equipment experience preferred; strong commitment to safety.
- Leadership qualities: ability to train, coach, set expectations, and develop team members while maintaining high standards of accuracy and on-time performance.
