Full Job Description

Selway Machine Tool Company is the leading provider of machine tools and advanced automation solutions on the West Coast. Established in 1963, we pride ourselves on delivering exceptional service and support through our dedicated team of technicians, engineers and administrative support across multiple locations.

Trinity Automation, a Division of Selway Machine Tool Company, Inc. is seeking a full-time, onsite detail-oriented Purchasing & Warehouse Coordinator to join our Ontario, CA team. This role requires both computer literacy and physical demand. Responsibilities include maintaining accurate customer, vendor, and item records in NetSuite while also owning the day-to-day flow of purchase orders, receiving, and shipping. Working in conjunction with the Operations Manager and Office Manager, this person keeps materials moving, records accurate, and the warehouse running smoothly. The ideal candidate is organized, self-motivated, and equally comfortable at a keyboard or on the warehouse floor — with a flexible attitude toward pitching in wherever the business needs it.

Core Responsibilities

Data Management (NetSuite)

Map and maintain accurate customer, vendor, and item records across NetSuite.
Identify and correct inconsistencies, duplicates, or gaps in existing records.
Establish and follow consistent data entry standards to keep records clean over time.
Partner with other departments to ensure data changes are reflected accurately across related NetSuite modules.
Support ongoing data integrity efforts tied to purchasing, receiving, and inventory records.

Purchasing

Process Purchase Order Requests (PORs) and submit POs to the appropriate vendor.
Track purchase orders and monitor stock levels; research vendors to negotiate competitive pricing.
Alert the team to parts that are past due or missing.
Provide purchasing reports to department managers.
Provide data entry support to the Office Manager and Operations Manager.

Receiving & Shipping

Unpack, examine, and route incoming shipments; verify accuracy against packing slips; reject and record damaged or short shipments, and correspond with shippers to resolve discrepancies.
Receive and process defective parts returned for replacement or credit.
Process shipping/receiving orders in the computer system per established procedure.
Coordinate outbound shipments, including arranging pickup with the carrier specified on the customer's PO per final shipping instructions.
Maintain an adequate, well-organized inventory of shipping materials and supplies.

Inventory Control

Sort, label, and organize materials; maintain accurate and well-defined project and workshop tool inventories.
Operate lift trucks or hand trucks to move materials between departments/areas.
Make pickups and deliveries to suppliers for parts and raw materials as needed.

Office & Workspace

Manage office supply inventory and handle general filing/clerical tasks.
Prepare management reports.
Maintain a clean, safe, and orderly work area and equipment; follow all safety protocols.
Take on miscellaneous tasks outside core responsibilities as business needs arise.

What We're Looking For

Experience maintaining or mapping records in an ERP system (NetSuite strongly preferred).
Prior experience in purchasing, receiving, shipping, or warehouse/inventory management.
Excellent attention to detail and a methodical approach to data entry and record-keeping.
Strong verbal and written communication skills; comfortable drafting professional emails, memos, and notices.
Very good customer and vendor interpersonal skills.
Demonstrate computer proficiency, including or able to quickly learn: NetSuite, Microsoft Office (Excel, Word, PowerPoint, Access, Outlook), online shipping portals, and web-based purchasing tools.
A self-starter who can prioritize tasks and keep stock levels and PO tracking on track with minimal supervision.
Flexible, team-oriented attitude — willing to grow beyond the core job description as the role evolves.

Work Environment

This is a fully onsite position based in our Ontario, CA facility, involving a mix of warehouse work (unloading, inspecting, sorting materials) computer-based tasks (PO tracking, NetSuite data entry, reporting), and general office support. The warehouse environment may include exposure to dust, varying temperatures, forklift traffic, and moderate noise; PPE may be required in designated areas.

Physical Demands

Frequently sit, stand, and walk throughout the workday, transitioning between office and warehouse.
Must be able to stand for long periods.
Frequently use hands and fingers for computer work and to handle inventory, tools, and materials.
Frequently reach, grasp, bend, stoop, kneel, crouch, and twist while receiving, organizing, and retrieving materials.
Occasionally climb steps or use a step stool/ladder to access stored materials, following safety procedures.
Frequently lift, carry, push, and pull materials up to 50 lbs; occasionally lift or move items up to 75 lbs, with or without assistance.
Very good visual acuity, hearing, and speaking ability; close vision to inspect shipments, labels, and computer screens.
Occasionally work in varying warehouse temperatures and around moving equipment, following safety protocols.

Additional Eligibility Qualifications

Valid California driver's license and an acceptable driving record
