Full Job Description

Position Title: Executive Director

Supervisor: Board Chair

Location: Lafayette, IN

Position Summary: The Executive Director is responsible for leading Heartford House Child Advocacy Center in a manner that advances the organization’s mission, vision, values, strategic plan, program effectiveness, and long-term financial sustainability. The Executive Director serves as the organization’s chief leader and primary public representative, while building and maintaining strong relationships with staff, the Board of Directors (Board), Multi-Disciplinary Teams (MDTs) and their partner agencies, the Advisory Committee, current and prospective donors, funders, and the broader community.

In partnership with the Board, the Executive Director oversees organizational operations and financial stewardship; pursues grants and other funding opportunities; develops sustainable unrestricted revenue streams; cultivates donor relationships; and spearheads effective fundraising strategies, campaigns, and events.

Responsibilities

Mission and Growth

· Provide strategic leadership and collaborate with the Board to ensure the continued development and growth of Heartford House Child Advocacy Center aligns with the organization’s strategic plan, mission, vision, values, goals, and philosophical framework.

· Ensure National Children’s Alliance (NCA) accreditation standards are achieved and maintained, including updating accreditation requirements as needed and maintaining current Memoranda of Understanding (MOUs) and linkage agreements with MDTs.

· Serve as the primary spokesperson and public face of Heartford House, presenting the organization’s mission and goals to community partners, funders, donors, and the public.

· Serve as the Heartford House liaison with community agencies, attending meetings and events as needed.

· Maintain active membership in the Indiana Chapter of Child Advocacy Centers.

Financial

· Ensure financial stability, fiscal accountability, and oversee the annual audit process.

· Prepare the annual budget in conjunction with the Board Treasurer.

· Manage ongoing expenditures, approve organizational invoices and staff reimbursements, and ensure the accuracy of monthly financial, timecard, and payroll reports provided to funders and the Board Treasurer.

Fundraising and Development

· Identify funding opportunities, lead grant writing and fund development efforts, secure new revenue sources, and complete all grant related reporting and training.

· Ensure accurate and timely completion of applications, grant reports, and reimbursement invoices for funders and/or the Board.

· Build relationships with community stakeholders to increase awareness and identify, cultivate, and steward donors.

· Develop marketing materials to raise awareness, educate the public, and support fundraising efforts.

· Spearhead design, planning, and implementation of internal fundraising efforts, including annual fundraisers.

· Conduct regular audits of client databases to ensure data accuracy and report integrity.

· Oversee the donor management system and ensure accurate data entry and recordkeeping.

MDT Facilitation

· Support leadership staff in establishing credibility and fostering a success-oriented environment that promotes effective, cohesive MDTs in the counties served

· Review survey results to help ensure clients and MDTs are satisfied with services.

Leadership

· Supervise leadership staff and evaluate leadership job performance annually, or more frequently as needed.

· Facilitate and/or attend leadership and staff meetings and participate in staff and MDT functions.

· Ensure direct service staff have adequate training, resources, and support to succeed, and advocate for direct service staff with the Board when necessary.

· Ensure staff, interns, and volunteers are informed of, understand, and comply with Board-approved policies

Board Reporting and Governance Support

· Participate in all Board meetings, strategic planning sessions, and assigned committees as needed.

· Submit monthly Executive Director reports to the Board, in the form and substance required by the Board Chair, no later than five business days before each scheduled Board meeting.

· Develop Board meeting agendas and provide Board packets to Board members no later than five business days before each scheduled Board meeting.

Education & Experience Qualifications

· Bachelor’s degree required, preferably in the field of business, management, social work, psychology, education, or criminal justice.

· Professional experience working with children and families is strongly preferred.

· Grant writing and fund development experience is strongly preferred.

· 3-5 years of leadership experience required.

Required Skills

· Ability to work independently and collaboratively in a cooperative, multidisciplinary environment.

· Ability to work effectively with children and families, MDT professionals, partner agencies, educational personnel, donors, funding representatives, and the Board of Directors.

· Proficiency in office productivity and business software, including Word, Excel, Adobe, and other work-related systems.

· Ability to successfully complete a criminal history check, Department of Child Services background check, digital fingerprint check, and confidentiality agreement prior to employment.

· Ability and willingness to travel throughout the eight-county service area for meetings, court hearings, and forensic interviews.

Physical Demands and Work Environment

The employee is regularly required to sit, use hands, and talk or hear. They frequently need to reach with hands and arms. Occasional requirements include standing, walking, climbing stairs, or balancing. The employee must regularly lift and/or move up to 10 pounds and occasionally lift up to 25 pounds. Specific vision abilities include close, distance, peripheral, depth perception, and adjusting focus.

The work environment is usually moderate to high noise levels, with occasional chaotic and unpredictable conditions due to client needs. Reasonable accommodations may be made for qualified individuals with disabilities.
