Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Answer phone systems efficiently, directing calls accurately and professionally.
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools.
Handle data entry tasks with precision, including filing, record keeping, and updating databases such as QuickBooks or other bookkeeping software.
Support office management duties such as organizing supplies, maintaining filing systems, and overseeing general administrative tasks.
Provide excellent customer service by addressing inquiries, resolving issues, and supporting client needs with professionalism.
Assist with clerical responsibilities including proofreading documents, managing correspondence, and supporting team members with personal assistant tasks when needed.

Requirements

Proven office experience with strong organizational skills and the ability to multitask efficiently.
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent computer literacy with technical proficiency in productivity software and data entry tools.
Prior experience working at a front desk receptionist is highly desirable.
Strong phone etiquette skills with experience managing multi-line phone systems.
Demonstrated ability to handle clerical tasks such as filing, proofreading, and calendar management accurately.
Exceptional customer service skills combined with friendly communication style.
Knowledge of bookkeeping is advantageous for handling basic financial tasks.
Ability to manage time effectively while maintaining high productivity levels in a fast-paced environment.
