Executive Assistant to the Pastor
First Baptist Church, Lafayette, Louisiana
Job Summary: First Baptist Lafayette is seeking a mature, highly organized, and ministry-minded Executive Assistant to the Senior Pastor. This role provides high-trust administrative and ministry support to the Senior Pastor while also serving key functions in pastoral ministry coordination, church records, and office operations.
This is not a generic administrative position. The person in this role must demonstrate spiritual maturity, sound judgment, strong discretion, excellent organizational ability, and a sincere commitment to the mission and ministry of the First Baptist Lafayette. This position works with the Senior Pastor and Executive Pastor and handles confidential information, sensitive ministry matters, and church-wide coordination with care and professionalism.
The ideal candidate is a proven administrative leader who can manage details, communicate clearly, serve people graciously, protect confidentiality, and support the ministry rhythm of First Baptist Lafayette.
Core Responsibilities
1. Executive Support for the Senior Pastor
- Manage the Senior Pastor’s calendar, appointments, meetings, and related scheduling details
- Screen calls, visitors, and requests with professionalism and discernment
- Coordinate travel, lodging, supplies, and routine administrative needs
- Attend weekly ministerial staff meetings and prepare accurate meeting minutes
- Assist with correspondence, reports, and other administrative support as assigned
2. Pastoral Ministry Coordination
- Support ministry logistics related to funerals, weddings, baptisms, and other pastoral functions
- Maintain designated ministry lists, schedules, and records connected to pastoral care and church ministry needs
- Assist with communication and follow-up related to ministry assignments and pastoral support functions
- Help ensure pastoral ministry details are handled accurately, graciously, and in a timely manner
3. Church Records and Clerk Responsibilities
- Maintain accurate membership and related church records
- Process membership updates, transfers, and related documentation
- Prepare regular reports connected to membership and church business matters
- Attend church business meetings and maintain accurate minutes as assigned
4. Office Coordination
- Help support orderly office workflow and coordination
- Assist with receptionist coverage and designated office support needs when required
- Support routine database, mail, and administrative processes tied to church operations
- Provide dependable administrative help during major church-wide ministry seasons and events
Required Qualifications
- A clear testimony of faith in Jesus Christ and a life that reflects Christian character and maturity
- Strong alignment with the mission, values, and doctrinal convictions of First Baptist Lafayette
- Able and willing to sign First Baptist Lafayette’s Staff Covenant
- Able and willing to become a member of First Baptist Lafayette
- Demonstrated commitment to the local church
- Proven administrative experience in a role requiring discretion, organization, follow-through, and professionalism
- Strong written and verbal communication skills
- High level of accuracy and attention to detail
- Demonstrated ability to handle confidential and sensitive information with wisdom and care
- Ability to manage multiple tasks, shifting priorities, and deadline-driven work without losing composure
- Ability to work well with pastors, staff, members, volunteers, and the public in a gracious and cooperative manner
- Strong computer and database proficiency, including routine office software and record systems
Preferred Qualifications
- Experience supporting a senior leader, pastor, executive, or ministry office
- Experience with church membership records, ministry scheduling, or similar church administrative systems
- Experience preparing minutes, reports, and formal correspondence
- Familiarity with the ministry rhythm and expectations of a Southern Baptist church
Work Schedule and Expectations
- Regular office hours are generally Sunday through Thursday, 8:00 a.m. to 4:30 p.m.
- This role also requires availability, as needed, for church-wide services, ministry events, and occasional evening responsibilities, including weekends and ministry activities
- This position reports in employment matters through the Executive Pastor and serves in close support of the Senior Pastor

Pay: $40,000.00 - $47,500.00 per year
