Full Job Description

We are looking for a full-time Customer Service Representative for our PMES Division in Medina, Ohio!

The Customer Service Representative serves as a primary point of contact for patients, caregivers, referral sources, physicians, discharge planners, and other healthcare professionals. This position is responsible for handling inbound and outbound communications, providing exceptional customer service, maintaining patient confidentiality, complying with HIPAA and company policies, and processing home medical equipment and supply orders in a timely and accurate manner.

Responsibilities include obtaining and maintaining required documentation, communicating coverage and order requirements, coordinating services and deliveries, documenting customer interactions, and collaborating with internal departments to ensure timely patient care and successful order outcomes.

Individuals with knowledge of durable medical equipment (DME), customer service experience, patient care, office assistance, or has knowledge of the medical field tend to do well in this role.

Schedule:

Monday - Friday (9:30am-6:00pm)
Saturday shift is rotational (split amongst team) - includes a $1/hr pay differential.

Responsibilities/Duties of Customer Service Representative:

Serve as a primary point of contact for patients, caregivers, referral sources, physicians, discharge planners, and other healthcare professionals regarding home medical equipment and supply needs through the use of inbound and outbound phone calls.
Maintain patient confidentiality and comply with HIPAA, accreditation, regulatory, and company requirements.
Process orders for home medical equipment and supplies by obtaining and reviewing required documentation, verifying information, and ensuring compliance with payor and company requirements.
Communicate coverage guidelines, documentation requirements, financial responsibility, and order status updates to patients and referral sources.
Coordinate with internal departments, referral sources, and healthcare providers to facilitate timely order processing and delivery of medically necessary equipment and supplies.
Accurately enter, update, and maintain patient, insurance, and order information within company systems.
Monitor assigned worklists and follow up on outstanding documentation, authorizations, patient communication, and order requirements to ensure timely order progression.
Document all customer interactions, actions taken, and follow-up activities in accordance with company standards.
Collect patient financial responsibility, including copayments, deductibles, and coinsurance amounts, as applicable.
Maintain knowledge of home medical equipment products, payor requirements, and regulatory guidelines to support quality patient care and service.
Meet established productivity, quality, and customer service standards while maintaining compliance with company policies and procedures.
Participate in weekend rotation schedules and perform other duties as assigned by management.

Knowledge, Skills, & Abilities:

Education: Must be a high school or GED graduate
Years of Experience: Requires previous experience and/or training in a customer service or a medical field
Working Conditions/Physical Demands: May include long periods of sitting
Demonstrates strong verbal, written, and interpersonal communication skills when interacting with patients, referral sources, healthcare professionals, team members and management.
Proficient in using computer systems to accurately enter, retrieve, and maintain information.
Ability to prioritize tasks, exercise sound judgment, and effectively manage multiple responsibilities in a fast-paced environment.
