The Opportunity
Beautific Studios is a growing tattoo and beauty studio in Newport Beach, and we’re looking for a Business Operations Manager to become the operational right hand to our founder.
We’ve reached a stage where the biggest constraint in the business isn’t a lack of ideas or opportunities. It’s that too much of the day-to-day operation still depends on the founder.
Questions, team follow-ups, bookings, deadlines, projects, operational issues, and revenue opportunities still too often require the founder to notice them or push them forward.
That’s the problem we’re hiring this person to solve.
We’re looking for someone who can step into the business, understand how everything works, create structure where it’s needed, hold people accountable, improve systems, solve problems independently, and help drive the business forward.
This is not an administrative assistant position, and it’s not a role for someone who needs to be given a daily checklist.
We’re looking for an operator: someone who sees what needs attention, figures out what should happen next, and follows through until the outcome is achieved.
You should also be commercially minded. Being organized isn’t enough. We want someone who understands that great operations should ultimately support stronger bookings, better team performance, improved client conversion, and business growth.

What You’ll Own
Your job isn’t simply to complete tasks.
Your job is to create operational reliability, accountability, and business performance.
1. Day-to-Day Operations & Owner Independence
A major measure of your success will be how much day-to-day operational responsibility you can remove from the founder’s plate.
You’ll be expected to:
- Oversee day-to-day studio operations and keep the business running smoothly
- Independently resolve routine operational problems
- Anticipate needs rather than waiting to be told what needs attention
- Gather information and bring solutions or recommendations when issues arise
- Know which decisions you can make independently and which genuinely require the founder
- Turn conversations and ideas into clear next steps
- Keep priorities, deadlines, and recurring responsibilities organized
- Follow through without requiring repeated reminders
The goal is for the founder to maintain visibility into the business without needing to personally manage every moving piece.
2. Team Management & Accountability
You’ll help create a team where expectations are clear and commitments actually happen.
You’ll:
- Keep team members accountable to responsibilities, expectations, and deadlines
- Follow up when commitments aren’t completed
- Help monitor team performance and identify where additional support or accountability is needed
- Make sure policies, systems, and processes are consistently followed
- Facilitate clear team communication
- Help organize meetings, check-ins, and follow-ups
- Address smaller performance or communication issues before they become larger problems
- Support hiring, onboarding, offboarding, and team transitions
- Maintain accurate team documentation and system access
- Help create clarity around who owns what
You should be able to build strong relationships with people while still being comfortable saying:
“This was due yesterday. What happened, and what’s the plan to get it completed?”
3. Client, Booking & Revenue Operations
You’ll oversee the operational side of the client journey with an understanding that great operations should ultimately support bookings, revenue, and artist productivity.
This is not a traditional sales position, but you should be commercially minded and comfortable looking for opportunities to improve business performance.
You’ll:
- Monitor inquiries, quotes, follow-ups, bookings, deposits, and conversion
- Make sure potential clients receive timely responses and consistent follow-up
- Identify where potential clients are falling out of the booking process
- Help improve scripts, workflows, and systems that increase conversion
- Monitor artist schedules and identify unfilled availability
- Help the team stay proactive about generating bookings rather than simply waiting for clients to come in
- Identify opportunities to fill availability through follow-up, flash, model opportunities, promotions, outreach, or other initiatives
- Monitor booking and revenue performance against goals
- Recognize when an artist, service, or area of the business is underperforming and investigate why
- Help ensure artists have the operational support and accountability needed to reach their booking and revenue goals
- Maintain a strong client experience throughout the booking process
- Resolve routine client concerns and know when an issue genuinely requires escalation
You don’t need to be a traditional salesperson.
But you should understand that a well-run business isn’t just organized — it performs.
If inquiries are coming in but aren’t converting, artist schedules have significant openings, or revenue is behind goal, we want someone who notices, investigates why, and helps create a plan to improve it.
4. Systems & Process Improvement
We don’t want to solve the same problem ten times.
When something repeatedly creates confusion, mistakes, unnecessary work, or owner involvement, you’ll be expected to ask:
“Why does this keep happening, and how do we fix the system behind it?”
You’ll:
- Create, document, and maintain SOPs
- Improve existing workflows
- Organize information so it’s easy for the team to access
- Identify bottlenecks and unnecessary steps
- Look for opportunities to automate repetitive work
- Help implement new tools or processes when appropriate
- Make sure systems remain accurate and up to date
- Make sure processes are actually followed after they’re created
The goal is to build a business that becomes easier to operate as it grows, not more complicated.
5. Projects, Trainings & Execution
Beautific Studios regularly runs trainings, workshops, model opportunities, promotions, content initiatives, and other projects.
You’ll help turn:
“We should do this.”
into:
“Here’s the plan, here’s who’s responsible, here are the deadlines, and it’s getting done.”
You’ll:
- Turn ideas into actionable project plans
- Create timelines and deadlines
- Assign and track responsibilities
- Coordinate artists, instructors, students, models, vendors, or other parties as needed
- Make sure materials and resources are prepared
- Follow up with everyone involved
- Identify missing pieces before they become last-minute problems
- Keep projects moving until they’re actually completed
You should enjoy taking something somewhat messy or undefined and turning it into an organized plan.
6. Business Administration & Operational Reliability
You’ll oversee the recurring details that keep the business functioning correctly.
Depending on the week, this may include oversight of:
- Studio and artist calendars
- Scheduling and availability
- Payroll and commission inputs
- Expenses and administrative tracking
- Inventory and supply ordering
- Vendors
- Employee and contractor documentation
- Hiring and onboarding logistics
- Offboarding and access removal
- Studio policies
- Software and operational systems
- Recurring administrative deadlines
You won’t necessarily need to personally perform every task forever.
But if it’s within your area of ownership, you’re responsible for making sure the outcome happens.
7. KPIs, Reporting & Business Visibility
We believe problems are much easier to solve when they’re caught early.
You’ll help maintain visibility into important business metrics, including:
- Revenue
- Bookings
- Inquiry volume
- Booking conversion
- Artist schedule utilization
- Team performance
- Training performance
- Expenses
- Operational priorities
- Projects and deadlines
We don’t expect you to simply report numbers.
We expect you to notice what the numbers are telling us.
If something looks unusual, you’ll investigate.
If performance is declining, you’ll flag it.
If you see an opportunity, you’ll bring it forward.
We want updates that sound like:
“Here’s what happened. Here’s why I think it happened. Here’s what I recommend we do next.”
Not simply:
“There’s a problem.”
What Success Looks Like
Within your first few months, we should see measurable improvements in how the business operates.
Success looks like:
- The founder is no longer the default person for routine operational questions
- Problems are being solved before they reach the founder
- The team knows what they’re responsible for and is consistently held accountable
- Important tasks and deadlines don’t require repeated reminders
- Artist schedules are actively monitored rather than empty availability going unnoticed
- Opportunities to improve bookings, utilization, conversion, and revenue are proactively identified
- Leads receive consistent follow-up and booking opportunities aren’t unnecessarily lost
- Business KPIs are being monitored and underperformance leads to action
- Calendars, systems, records, payroll information, and operational details remain accurate
- Trainings, projects, and initiatives are planned ahead rather than becoming last-minute emergencies
- Recurring problems are replaced with better systems and documented processes
- The founder has clear visibility into what’s happening without personally managing every moving piece

Experience managing an appointment-based or service business where bookings, utilization, conversion, and revenue matter is especially valuable.
Tattoo industry experience is not required.
We’d rather hire an exceptional operator who can learn our industry than someone with industry experience who can’t take ownership.

What We Offer
Salary: $72,000–$75,000/year, depending on experience
Employment: Full-time
Schedule: Approximately 40 hours per week
Location: Beautific Studios, Newport Beach, California
Work Arrangement: In-person
You’ll work closely with the founder and have visibility across nearly every area of the company.
This isn’t a position where you’ll be confined to one small function of a large corporation.
You’ll have the opportunity to understand the entire business, improve how it operates, build systems that actually get used, influence team performance, and directly contribute to the company’s growth.
