Full Job Description

Job Summary

We are seeking a highly organized and detail-oriented Doctor's Scheduler to coordinate and manage appointment scheduling for our dental office. The ideal candidate will possess strong administrative skills, extensive knowledge of electronic health record (EHR) systems, and excellent communication abilities. As a key member of the team, the Doctor's Scheduler will ensure efficient appointment flow, accurate documentation, and seamless patient service, contributing to optimal clinic operations and patient satisfaction.

Duties

Schedule patient appointments accurately , ensuring proper allocation of provider time and resources.
Verify insurance coverage and perform insurance verification procedures to facilitate smooth billing processes and reduce claim denials.
Manage medical records and documentation review to ensure compliance with HIPAA regulations and clinical confidentiality policies.
Coordinate with clinical staff to optimize daily schedules, accommodate urgent cases, and handle appointment changes efficiently.
Assist with patient intake processes, including collecting demographic information and updating health histories in electronic health records.
Provide exceptional customer service by addressing patient inquiries via phone or in person with professionalism and empathy.
Maintain accurate documentation of scheduling activities, cancellations, reschedules, and other administrative tasks using Microsoft Office tools.
Support medical billing activities through knowledge of CPT coding, ICD-9/10 coding, Medicare requirements, and health insurance procedures.

Experience

Proven experience in medical office management or healthcare administrative support within a clinical setting.
Demonstrated ability to handle multi-line phone systems with professional phone etiquette and effective communication skills.
Prior experience in dental or medical clinics is preferred; familiarity with dental terminology and dental office management is a plus.
Bilingual skills are desirable to serve diverse patient populations effectively.
Knowledge of HIPAA compliance standards and clinical confidentiality policies essential for safeguarding patient information.
