Duties

Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression
Manage multi-line phone systems to handle inquiries efficiently and direct calls appropriately
Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and Google Workspace
Schedule appointments, manage calendars, and coordinate meetings with attention to detail and timeliness
Assist with office management tasks including supply inventory, document proofreading, and basic bookkeeping using QuickBooks or similar tools
Provide excellent customer service by responding promptly to inquiries via phone or email and offering support as needed
Support clerical functions such as word processing, document preparation, and maintaining organized filing systems

Skills

Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and communication skills for professional client interaction
Bilingual abilities are highly desirable to assist diverse clientele and team members
Technical proficiency in office management software including QuickBooks and spreadsheets
Previous experience in office administration or clerical roles is preferred, especially in medical reception or personal assistant settings
Demonstrated ability to handle confidential information with discretion and maintain high levels of accuracy in proofreading and data management
