The Dean Associate provides advanced administrative and operational support within an academic division, independently coordinating complex processes and activities that contribute to the effective delivery of academic programs and services.
The position serves as a key point of coordination among academic leadership, faculty, staff, students, and external partners and independently manages a variety of administrative, scheduling, financial, and operational responsibilities.
The Dean Associate applies sound judgment to prioritize competing demands, resolve administrative and operational issues, maintain accurate records and processes, and anticipate needs that may affect divisional operations. Through effective coordination, communication, and follow-through, this position helps ensure responsibilities are completed accurately, efficiently, and consistently.
Coordinate and support academic division activities that contribute to the reliable delivery of educational programs and services.
Provide responsive and coordinated administrative support to students, faculty, staff, and external partners.
Manage administrative processes, records, scheduling, financial activities, and resources accurately and efficiently.
Coordinate, evaluate, and improve administrative processes and division activities through collaboration, problem-solving, and timely follow-through.
- Coordinate daily administrative operations for the academic division, including scheduling, records, correspondence, and departmental processes.
- Prepare and process faculty Letters of Employment (LOEs), workload assignments, absences, chair worksheets, substitute timesheets, and related documentation.
- Administer course and scheduling processes, including course changes, block schedules, room assignments, and updates to Dean reports.
- Monitor departmental budgets, expenditures, P-card reconciliation, procurement, and related financial documentation.
- Serve as a primary point of contact for students, faculty, staff, advisors, community members, and external partners.
- Build effective working relationships with division stakeholders to support responsive and coordinated service.
- Respond to questions and concerns, provide information, coordinate resources, and refer matters to the appropriate individual or department.
- Support advisory board recruitment and maintain positive relationships with community and external partners.
- Coordinate administrative activities and timelines for advisory boards, departmental meetings, program reviews, division initiatives, and academic activities.
- Coordinate projects and activities among faculty, deans, support staff, students, and external partners to ensure timely completion.
- Support division events and initiatives, including vendor coordination, logistics, volunteer scheduling, and on-site support.
- Identify opportunities to improve administrative workflows, communication, documentation, and operational efficiency.
- Assess administrative and operational issues and determine appropriate actions based on established policies, procedures, and available information.
- Research and resolve scheduling conflicts, faculty workload discrepancies, payroll-related issues, and other operational concerns.
- Recommend practical solutions and coordinate with appropriate resources to address issues requiring additional expertise or authority.
- Recognize potential operational disruptions and take appropriate action or elevate matters to academic leadership.
- Participate in institutional committees, advisory meetings, professional development, and division initiatives as assigned.
- Provide administrative and operational support for special projects and institutional initiatives.
- Maintain knowledge of College policies, procedures, systems, and processes relevant to assigned responsibilities.
- Perform other duties as assigned in support of academic division operations and institutional priorities.
- High school diploma or equivalent.
- Three (3) years of progressively responsible administrative, academic support, or office operations experience; or an equivalent combination of education and experience.
- Demonstrated experience coordinating administrative processes, records, schedules, communications, or operational activities in a complex work environment.
- Demonstrated ability to independently organize and prioritize multiple assignments, manage competing deadlines, and follow through on detailed work with a high degree of accuracy.
- Demonstrated ability to interpret and apply established policies, procedures, and guidelines and exercise sound judgment when resolving routine administrative and operational issues.
- Demonstrated ability to communicate effectively and build productive working relationships with faculty, staff, students, administrators, and external stakeholders.
- Proficiency with common office technology and the ability to learn and effectively use enterprise systems, databases, financial systems, and other technology relevant to assigned responsibilities.
The Dean Associate, Law Enforcement Academy & Academic Operations & Campus Affairs performs advanced administrative and operational support work requiring substantial independence, initiative, coordination, and judgment within established institutional policies and processes.
The position independently manages complex and interdependent administrative activities, prioritizes competing demands, anticipates operational needs, resolves issues, and coordinates work across multiple stakeholders.
The Dean Associate is responsible for the timely, accurate, and effective completion of assigned responsibilities and may coordinate follow-up and provide guidance related to assigned processes.
While the position may recommend process improvements and solutions to operational challenges, accountability for academic strategy, program direction, and divisional priorities remains with the appropriate academic leadership.
