Overview

We are seeking a highly organized and proactive Administrative Coordinator specializing in Procurement to join our dynamic team. This role is essential in supporting the procurement process, managing office operations, and ensuring seamless communication across departments. The ideal candidate will demonstrate exceptional administrative skills, proficiency with office management tools, and the ability to handle confidential information with discretion. This position offers an excellent opportunity to contribute to efficient procurement workflows while fostering a professional and welcoming office environment.

Duties

The Administrative Coordinator - Procurement supports daily administrative and operational functions for the National General Affairs team across multiple office locations.
This role focuses on purchasing, invoice processing, travel administration, and records management to ensure smooth business operations.
The ideal candidate is detail‑oriented, organized, and customer‑focused, with the ability to manage multiple priorities in a fast‑paced corporate environment.
Purchasing & Procurement: Process purchase requests (PRs) for San Diego and Otay Mesa offices, track approvals, respond to employee inquiries, and assist with vendor registrations.
Invoice Processing: Review and process General Affairs invoices, reconcile corporate credit card statements, and ensure timely and accurate expense documentation.
Financial Administration: Collect receipts, maintain accurate invoice records, and support financial reporting.
Travel Administration: Review employee travel requests for compliance, assist with travel documentation, follow up on missing information, and respond to internal travel inquiries.
Administrative Support: Maintain office supply inventory, support investment‑related purchases, and provide general administrative assistance to ensure smooth department operations.
Records Management: Organize and maintain documentation for General Affairs activities in an auditable manner.

MUST HAVE:

High School diploma or GED
Should have 2+ years of direct administrative, purchasing, or business support experience.
Should be capable of reviewing and processing employee travel requests for completeness and policy compliance.
Should have experience processing Purchase Requests (PRs) and following up on pending approvals.
Should be proficient in reviewing invoices, collecting receipts, and assisting with weekly corporate credit card reconciliations.
Should be able to maintain office supply inventory and manage organized General Affairs records.
Should possess strong proficiency with Microsoft Excel, Outlook, and other MS Office applications.
Should be capable of occasionally lifting and carrying up to 20 pounds.

Shift Timing: 8:30AM-5:30PM

Weekly schedule: M-T

Pay: $22.00 - $25.00 per hour
