MRO Coordinator / Inventory Specialist

Location: North Chicago, IL-100% Onsite
Contract Duration: Until the end of 2026
Pay Rate: $23/HR

Schedule: Monday–Friday | 7:30 AM – 4:00 PM
Interview Process: 45-minute onsite interview

Orion Group is seeking an MRO Coordinator / Inventory Specialist to support purchasing and inventory operations for our global pharmaceutical client at their North Chicago, IL campus.

This position supports Maintenance, Repair, and Operations (MRO) activities by managing requisitions, tracking service orders, resolving invoices, and maintaining accurate inventory records. The role serves as a liaison between internal customers, vendors, and procurement teams to ensure timely order fulfillment and operational efficiency.

This is a highly detail-oriented, data-driven role working onsite within a small team environment.

Key Responsibilities

Process requisitions and support the creation and fulfillment of purchase orders within MRO systems
Review and enter Maintenance Stock Standardization Recommendations (MSSR) requests
Monitor and expedite orders, ensuring proper follow-up and close-out of open orders
Resolve invoice discrepancies and payable inquiries with vendors and internal teams
Support inventory management activities and address discrepancies in MRO inventory
Generate reports and analyze data related to materials, vendors, and planning factors
Collaborate with internal customers, purchasing teams, and vendors to meet operational needs
Identify process improvements to enhance service efficiency and customer satisfaction
Maintain compliance with corporate policies, safety procedures, and audit documentation requirements
Cross-train with other MRO team members to ensure operational continuity

Required Qualifications

3+ years of experience in inventory, MRO operations, warehouse coordination, or data entry
Strong attention to detail and data accuracy
Experience tracking orders and following up on open requests
Familiarity with machine parts, maintenance materials, or industrial inventory
Strong communication and organizational skills

Preferred Qualifications

Experience with SAP, Maximo, or Smartsheet
Experience resolving invoice discrepancies or vendor issues
Basic Microsoft Office / Excel skills
Experience supporting inventory control or procurement processes

Work Environment

100% onsite role in Lake County, IL
Office / cubicle setting with a 6-person team
Occasional overtime available as needed
This role is primarily data entry (about 80%) focused on entering new parts and service purchase orders into the system.
Work involves ordering facility-related equipment and components, such as chairs, desks, motor controls, HVAC components, and variable frequency drives.
Allen Bradley controls are commonly referenced, as they are widely used for HVAC and rotating equipment systems.

Daily Responsibilities

Process new parts and service purchase orders in the system.
Perform data entry and part setup, ensuring information is accurate before items are added to inventory.
Review requests submitted through Smartsheet and determine if enough information is provided to proceed.
Search the system (Maximo) using model numbers, descriptions, and quotes to confirm the part does not already exist in inventory.
Assist with PO resolution issues, duplicate parts, and data inconsistencies.
Spend roughly 1 hour each morning handling furniture-related orders (training will be provided before working independently).
Support the team with assigned tasks related to inventory management (e.g., removing items from stock), though final decisions are handled by others.

Process

Request submitted through Smartsheet.
Team reviews request to confirm required information.
Team member takes ownership of the request.
Search Maximo to confirm the part does not already exist.
Enter part information and complete required vetting checks before adding it to inventory.

Ideal Candidate Profile

1–3 years of experience preferred (2–3 years ideal).
Strong attention to detail and data entry accuracy.
Comfortable with repetitive work and structured processes.
Good problem-solving ability to identify duplicate parts or incorrect purchase orders.
Facilities or maintenance environment experience is a plus, especially for recognizing similar parts or manufacturer descriptions.
