Overview

We are seeking a meticulous and proactive Accounts Payable Assistant to join our finance team. In this role, you will be responsible for managing the company's accounts payable processes, ensuring timely and accurate processing of invoices, payments, and reconciliations. Your work will support the organization’s financial integrity, vendor relationships, and compliance with accounting standards. The ideal candidate will possess strong technical skills, a solid understanding of accounting principles, and experience with various financial software systems.

Responsibilities

Process and verify vendor invoices using accounting systems such as SAP, Oracle, or similar platforms
Ensure compliance with internal controls and SOX (Sarbanes-Oxley Act) requirements during invoice processing
Reconcile accounts payable ledger with general ledger entries to maintain accuracy
Prepare and schedule payments via checks, ACH transfers, or electronic payment methods
Maintain detailed records of transactions and support month-end closing activities
Assist in account reconciliation activities and resolve discrepancies promptly
Support data entry tasks including coding invoices with appropriate GL (General Ledger) accounts using Excel formulas like VLOOKUP
Collaborate with procurement, finance, and human resources teams to ensure seamless operations
Contribute to process improvements for efficiency and accuracy in accounts payable workflows
Support audit preparations by providing necessary documentation and reports

Qualifications

Minimum of two years’ experience in accounts payable or related accounting roles within corporate or public accounting environments
Proficiency with financial software such as Workday, Paychex, QuickBooks, Sage, PeopleSoft, or UltiPro
Strong understanding of GAAP (Generally Accepted Accounting Principles) and double-entry bookkeeping
Experience with accounting systems including ADP, Kronos, Ceridian, or similar platforms
Knowledge of payroll management, benefits administration, and governmental accounting is a plus
Demonstrated ability to perform account reconciliation and journal entries accurately
Excellent data entry skills including 10-key typing speed and attention to detail
Strong analysis skills utilizing Excel data analysis techniques such as formulas and functions like VLOOKUP
Familiarity with tax regulations, non-profit accounting practices, and general ledger management is advantageous
