Job Summary
We are seeking a dynamic and organized Office Administrator to join our team! In this vital role, you will be the heartbeat of our office operations, ensuring smooth daily functions, excellent customer service, and efficient administrative processes. Your energy and attention to detail will help keep our office running seamlessly and foster a positive environment for both staff and clients.

Duties

Front Desk: Greet all visitors with warmth and direct phone calls with professional etiquette.
Phone Systems: Operate multi-line systems to answer inquiries and route calls efficiently.
File Management: Maintain accurate data entry, organized filing systems, and careful document proofreading.
Computer Skills: Use Microsoft Office to prepare reports, correspondence, and scheduling materials.
Timesheet File Management: Collect, review, and file employee timesheets.
Credit Card Rec: Reconcile monthly company credit card statements by matching receipts to transactions.
Safety Site Management: Monitor office safety protocols, track incident reports, and maintain compliance standards.
Clerical Tasks: Handle photocopying, faxing, mailing, and tracking office supply inventory.
Customer Support: Provide exceptional service by addressing inquiry requests promptly.

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent computer literacy including data entry, proofreading, and file management
Bilingual abilities are a plus for effective communication with diverse clients.
Experience with Sage50 is desirable but not required
Strong phone etiquette skills with experience managing multi-line phone systems
Demonstrated time management skills with the ability to prioritize tasks effectively
