Full Job Description

Job Description

The Client Associate will be responsible for providing administrative and operational support to the Financial Advisor(s) and Senior Registered Client Associate. The Client Associate will assist the team in many areas of our practice, including answering in-bound phone calls, preparing new account and service paperwork, managing multiple computer systems in a paperwork intensive environment, providing client service, facilitating and resolving client service requests, scheduling client meetings, generating and mailing correspondence, and completing other administrative tasks as assigned.

Responsibilities:

Assist Financial Advisor(s) with daily activities, including maintaining calendars, preparing correspondence, and providing client service.
Interact with clients in person and over the phone.
Prepare and review new account paperwork.
Facilitate and resolve client service requests.
Provide client service in person, via phone, email, and approved texts addressing any questions regarding statements, online enrollment assistance, general account activity, etc.
Apply a working knowledge of operations/client-service processes.
Provide marketing assistance as needed including coordinating with marketing vendors, website operations, client mail/email and client events.
Work independently, effectively, and efficiently.
Ensure paperwork is prepared and provided for all client meetings.
Handle confidential and/or sensitive information responsibly.
Maintain admin functions of the office such as office supplies and mail.
Perform other duties as assigned.

Required Skills:

Excellent communication with team via conference/Zoom calls, instant messenger, phone, email, etc.
Positive attitude, willingness to engage in various business projects and initiatives.
Assist and train team members as needed.
Contribute to business vision and positive/unique team culture.
Deepen client relationships; seek out ways to “surprise and delight” clients.
You are OK being on a small team of 3 and learning a variety of responsibilities.
You have a sharp eye for opportunity and a quick mind that sees ways to uniquely solve problems all the while improving systems for the betterment of the team and client.

Qualifications:

Bachelor’s degree in Finance, Business Administration, or related field or equivalent experience is desired.
Five years of professional experience, with any service industry experience a plus.
Team player, eager to collaborate with others.
Strong computer skills and knowledge of Microsoft Office products.
Exceptional interpersonal and client service skills.
Strong organizational and analytical skills; process orientated.
Experience with eMoney and/or other wealth planning software is preferred.
Strong written, verbal communication and grammatical skills.
Ability to work both independently and in team settings.
Ability to communicate clearly and professionally through both verbal and written skills.
Ability to navigate client concerns, report complaints as appropriate to FA(s) and compliance officer.
Ability to manage a variety of tasks and prioritize individual workload responsibilities.
Ability to effectively manage multiple projects and activities on a routine basis with minimal supervision.
Ability to learn additional software applications.
Ability to self-motivate and thrive in a complex and rapidly changing environment.
Ability to work with strict confidentiality requirements, as well as utilize good judgment in the preparation and distribution of confidential information.

Work Environment:

Professional and deadline-oriented environment in an office setting.
Interaction with clients, prospects, FA(s), and other team members.
In office / full-time, Monday through Friday, 9AM-5PM, 40 hours per week.

Compensation and Benefits:

35k-40k/yr starting salary depending on experience
Medical / Dental / Vision and 401K Benefits
NYSE holidays throughout the year
10 days PTO after 1st year

Pay: $35,000.00 - $40,000.00 per year
