MUST HAVE 5+ YEARS EXPERIENCE

Event Planning, Floral & Client Services

We are looking for an organized, personable, detail-oriented individual to join our team as an Event Planning & Floral Administrative Assistant. This position supports the planning and execution of weddings, parties, galas, and other special events, while also assisting with floral orders and day-to-day client communication.

The ideal candidate is someone who loves details, enjoys working with people, and can confidently manage multiple moving parts at once. You will work closely with clients, event planners, designers, vendors, and our internal team to help bring events from the initial inquiry through completion.

Responsibilities

Event Planning & Coordination

Assist with planning and coordinating weddings, parties, galas, corporate events, and special events
Attend client meetings, venue meetings, vendor meetings, and event planning meetings
Take detailed notes and maintain accurate event files
Assist with event timelines, schedules, checklists, proposals, and production documents
Help coordinate event logistics, including floral, décor, rentals, deliveries, setup, and breakdown
Communicate with clients, venues, planners, vendors, and other event professionals
Follow up on outstanding details, confirmations, payments, and event information
Help ensure deadlines and event details are accurately tracked and communicated to the appropriate team members
Assist with event-day coordination and problem solving when needed

Floral Orders & Client Services

Take and process floral orders from clients
Assist clients with floral selections, event flowers, personal flowers, arrangements, and décor
Gather the information necessary to create accurate floral proposals and orders
Communicate floral details and special requests to the design and production team
Assist with coordinating floral deliveries and event installations
Answer phones, emails, and client inquiries professionally and promptly
Maintain accurate customer and order information

Administrative & Organizational Support

Maintain organized digital and physical event files
Enter and update client, event, floral, and vendor information
Assist with proposals, contracts, invoices, order forms, and other event documents
Help maintain calendars and event schedules
Coordinate information between the office, designers, planners, and event staff
Assist with general administrative tasks as needed

Ideal Candidate

We are looking for someone who is:

Highly organized and exceptionally detail-oriented
Professional, polished, and comfortable interacting with clients
A strong communicator with excellent written and verbal skills
Comfortable taking detailed notes and managing multiple projects simultaneously
Confident communicating with clients, vendors, venues, and event professionals
Able to prioritize and stay calm when things get busy
Proactive and able to anticipate what needs to happen next
Comfortable learning floral terminology, products, and event logistics
Tech-savvy and comfortable working with email, calendars, documents, and scheduling systems
Reliable, flexible, and willing to jump in wherever needed
Comfortable attending occasional evening and weekend meetings or events

Pay: $20.00 - $30.00 per hour
