Scheduling & Intake Specialist

Lakeland, FL | Full-Time | Monday–Friday

About Us

Innovative Behavior Management is a BCBA-owned and operated ABA therapy provider dedicated to helping children with autism and developmental disabilities reach their fullest potential. Our team is passionate about providing exceptional clinical care while creating an outstanding experience for every family we serve.

What You'll Do

As our Scheduling & Intake Specialist, you'll be the primary point of contact for new families and play a vital role in ensuring a smooth transition into services.

Responsibilities include:

Welcome new families with professionalism, empathy, and exceptional customer service.
Answer incoming phone calls, emails, and website inquiries.
Schedule consultations, assessments, parent meetings, and therapy appointments.
Coordinate clinician schedules to maximize efficiency.
Verify insurance eligibility and benefits.
Obtain referrals and required documentation.
Prepare intake paperwork and maintain accurate electronic records.
Communicate with physicians, insurance companies, and referral sources.
Monitor authorizations and assist with scheduling around authorization timelines.
Maintain waitlists and communicate with families regarding service availability.
Collaborate closely with our Clinical Director and BCBAs to coordinate client services.
Assist with office administrative tasks as needed.

Qualifications

Preferred qualifications include:

Minimum of 2 years of scheduling, intake, medical office, or customer service experience
Healthcare, ABA, pediatric therapy, or insurance experience strongly preferred
Excellent verbal and written communication skills
Strong organizational and multitasking abilities
Comfortable working with multiple computer systems
Ability to maintain confidentiality (HIPAA)
Positive attitude with excellent problem-solving skills
Experience with EMR systems is a plus
