Job Overview

ABA Operations Manager

The Operations manager is responsible for leading the operational performance, growth, and scalability of a multi-clinic Applied Behavior Analysis (ABA) organization. This executive leadership role partners closely with clinical,human resources, and teams to drive sustainable growth while ensuring operational excellence, exceptional patient experiences, regulatory compliance, and financial performance.

The ideal candidate is a strategic leader with experience managing multi-site ABA operations, building high-performing teams, implementing scalable processes, and supporting rapid organizational growth.

Key ResponsibilitiesOperational Leadership

Provide operational oversight for multiple ABA clinics across all markets.
Develop and implement standardized operating procedures to improve consistency, efficiency, and quality.
Monitor and optimize clinic performance through key operational metrics and dashboards.
Ensure clinics consistently meet productivity, utilization, scheduling, and financial targets.
Lead continuous process improvement initiatives that increase operational efficiency while maintaining quality care.

Medicaid & Commercial Insurance

Develop and execute operational strategies to maximize growth and performance across Medicaid and commercial insurance payer segments.
Partner with revenue cycle, finance, and clinical leadership to improve payer performance, reimbursement outcomes, and operational efficiency.
Monitor payer-specific metrics including authorization approvals, utilization rates, reimbursement trends, denials, appeals, and collections.
Ensure clinics maintain strong relationships and compliance with Medicaid managed care organizations, commercial insurance carriers, and other third-party payers.
Identify opportunities to expand payer contracts, improve network participation, and increase access to covered ABA services.
Support operational readiness for payer audits, credentialing requirements, utilization reviews, and documentation standards.
Develop processes to reduce authorization delays, improve service continuity, and optimize revenue capture.

Growth & Expansion

Develop operational strategies that support aggressive organizational growth.
Lead new clinic openings from planning through launch and stabilization.
Create scalable systems and infrastructure to support expansion into new markets.
Collaborate with executive leadership on market assessments, acquisitions, and strategic growth initiatives.
Identify opportunities to improve capacity, reduce waitlists, and maximize patient access.

Financial Management

Manage clinic operating budgets and financial performance.
Analyze revenue, expenses, staffing costs, and profitability across all locations.
Partner with finance to improve margins while maintaining excellent clinical outcomes.
Monitor KPIs including census growth, authorization utilization, collections, staffing ratios, and operating expenses.
Drive accountability for financial goals at each clinic.

Team Leadership

Recruit, develop, mentor, and retain Regional Directors, Clinic Managers, and operational leaders.
Build a culture of accountability, collaboration, innovation, and continuous improvement.
Conduct regular performance reviews and leadership development planning.

Clinical Partnership

Partner with Clinical Directors and BCBAs to align operational excellence with high-quality clinical care.
Remove operational barriers that impact service delivery.
Ensure appropriate staffing models support client needs and growth objectives.
Foster strong collaboration between clinical and administrative teams.

Compliance & Quality

Ensure compliance with state, federal, payer, BACB, and accreditation requirements.
Maintain readiness for audits and regulatory reviews.
Monitor documentation, operational workflows, and risk management practices.
Support quality improvement initiatives that enhance patient satisfaction and clinical outcomes.

Strategic Initiatives

Develop and monitor operational KPIs and executive dashboards.
Lead cross-functional projects focused on technology, automation, workflow optimization, and organizational effectiveness.
Evaluate operational trends and implement data-driven solutions.
Serve as a key member of the executive leadership team.

Qualifications

Required

Bachelor's degree in Healthcare Administration, Business Administration, Operations Management, or related field.
7+ years of progressive healthcare operations leadership experience.
5+ years managing multiple locations or regions.
Demonstrated experience leading operational growth in a multi-site healthcare organization.
Strong financial management and P&L experience.

Excellent leadership, communication, and organizational skills.
Ability to travel regularly between clinic locations.

Pay: $90,000.00 - $110,000.00 per year
