Accounts Receivable and Service Assistant:
This role serves as a central coordinator for service operations, ensuring seamless communication between customers, field teams, and internal staff. The position is responsible for organizing work orders, managing service scheduling, and proactively following up on open items to keep jobs moving forward without delays. Additionally, the role supports the financial side of operations by handling service-related billing, invoicing, and collections, helping maintain both workflow efficiency and timely revenue capture.
Candidates must be detail-oriented and able to manage multiple tasks in a fast-paced, high-volume construction environment.
Duties and Responsibilities:
· Create, track, and manage service work orders from initial request through completion
· Schedule and dispatch service calls, coordinating with field staff to ensure timely execution
· Serve as the primary point of contact for customers while field supervisors are on-site, maintaining clear and consistent communication
· Handles high call volumes and email correspondence in a timely manner
· Proactively follow up on open and aging jobs to prevent delays, ensuring all required information, approvals, and questions are addressed
· Act as a liaison between customers, property management companies, and internal teams to keep projects progressing
· Prepare and process service invoices, including billing, adjustments, and collections follow-up
· Monitor accounts receivable aging and assist in resolving outstanding balances
· Enter and maintain accurate job and customer data in company systems (e.g., work order/dispatch software)
· Distribute service agreements and support service-related marketing communications
· Provide administrative and coordination support to the production and service teams
Essential Skills and Qualifications:
· Communication: Communicates clearly and professionally; listens actively, asks questions, and responds appropriately in a variety of situations.
· Customer Service: Communicates clearly and professionally with customers, property managers, and internal teams and serves as the primary point of contact while field supervisors are on-site, ensuring consistent updates.
· Professionalism: Demonstrates accountability by tracking work orders from initiation through completion; maintains organized and accurate job documentation, billing records, and communication logs and represents the company professionally in all customer and internal interactions.
· Dependability: Supports production and service teams with consistent administrative coordination and follows through on aging and stalled jobs to ensure resolution.
· Attendance: Maintains reliable attendance to support daily scheduling, dispatching, and customer communication needs and ensures continuity of service coordination responsibilities during absences when applicable
· Ethics & Confidentiality: Handles customer, financial, and company information with confidentiality and integrity and accurately processes billing, invoicing, and collections in accordance with company standards
· Problem Solving: Coordinates between multiple parties to remove obstacles and keep service work progressing.
Education and Experience Requirements:
- High school diploma, GED, or equivalent
- Prior experience in Accounts Receivable and Service
- Experience with Microsoft office software (Word, Excel, etc)
- Some construction experience is preferred but not required

Schedule: Monday to Friday, 8:00 am to 5:00 pm. May be required to participate in an on-call rotation during periods of inclement weather or emergency conditions to support urgent service requests.

Wage Rate: $20.00 ‑ $24.00 per hour
