Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! This vital role involves supporting daily office operations, managing administrative tasks, and ensuring a smooth work flow. Duties

Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
Assist with office management tasks such as filing, organizing supplies, and overseeing general clerical duties
Support client communication through phone calls, emails, and in-person interactions while maintaining excellent phone etiquette
Schedule appointments, manage calendars, and coordinate meetings to ensure efficient time management for staff and executives
Handle basic bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping
Provide customer service support by addressing inquiries promptly and professionally, ensuring positive client experiences

Requirements

Proven experience in office management or administrative support roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Excellent computer literacy with the ability to learn new software quickly and efficiently
Strong verbal and written communication skills; bilingual ability is a plus for diverse client interaction
Experience with multi-line phone systems, front desk duties, and customer service best practices
Knowledge of clerical tasks such as filing, proofreading, and document management
Ability to prioritize tasks effectively while maintaining attention to detail in a fast-paced environment
Previous experience in medical or dental receptionist roles or personal assistant positions is advantageous
Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously
