Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. From managing schedules to handling correspondence, you’ll play a key part in maintaining our professional standards and enhancing productivity. This paid position offers an exciting opportunity for someone eager to grow their administrative expertise in a fast-paced setting.

Responsibilities

Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Coordinate calendar management, scheduling appointments, meetings, and events efficiently using productivity software such as Microsoft Office and Google Workspace
Perform data entry tasks with accuracy using spreadsheets and other office management tools, ensuring all records are up-to-date and organized
Handle clerical duties including filing, proofreading documents, and preparing Word processing materials to support various departments
Provide exceptional customer service by responding promptly to client inquiries, supporting client communication efforts, and maintaining positive relationships
Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and manage invoices
Support office management tasks such as ordering supplies, maintaining office equipment, and ensuring overall office cleanliness and organization

Requirements

Proven office experience with strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
Strong phone communication skills with professional phone etiquette; experience managing multi-line phone systems is preferred
Bilingual abilities are highly desirable to assist diverse client needs and enhance communication efforts
Demonstrated clerical experience including filing, proofreading, and document preparation
Familiarity with bookkeeping software like QuickBooks; previous office management or administrative experience is preferred
Exceptional time management skills with the ability to multitask efficiently while maintaining accuracy
Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows
Technical proficiency with office productivity tools such as spreadsheets, calendar management applications, and typing at a high speed with accuracy
