Full Job Description

TITLE: CHURCH ADMINISTRATOR

REPORT TO: Senior Pastor

EMPLOYMENT STATUS: Part Time 20 hrs. per Week

STANDARD WORK HOURS (To be Discussed); As well as Salary

FLSA Non-Exempt

POSITION SUMMARY

Provide staff support to the leaders, auxiliaries, and boards that are a part of Bright Side’s ministry centers. Guide ministry centers in adherence to church policies. Assist with membership needs. The administrator must be flexible, take initiative, and assume other duties as necessary to ensure that the church is operating in an efficient and orderly manner. The administrator will also serve as liaison between management staff and ministry center leaders to help the church serve the local community.

ESSENTIAL JOB FUNCTIONS:

I. ADMINISTRATION/PLANNING:

· Provide clerical assistance to help maintain church: policy, procedure, and protocol. Attend bi-annual church business meetings. Record meeting minutes and maintain church files. Answer and return calls in a timely manner. Opens mail and forward to appropriate personnel.

· Secure and manage confidential records and maintain backup for keys control.

· Work with the Human Resources Committee to disseminate benefits information, provide support with open enrollment, benefit renewal, and annual Simple IRA notifications. Provide support with other HR tasks.

· Custodian of church insurance policies, including health, liability, property, and vehicle.

· Offer clerical support to the pastor, staff, ministries, and committees of the church.

· Assist staff, ministries, committees, and membership with requests for funds.

· Collaborate with church leadership to create, manage, and efficiently communicate the church calendar.

· Assist in scheduling all leadership and church business meetings.

· Notify necessary parties (with as much advance notice as possible) of all leadership and church meetings. Secure space, supplies, and refreshments for such gatherings in advance.

· Develop and implement ways to provide mass communications (efficient apps; email; text; phone systems, etc.) to keep membership up to date on current matters and events.

· Create and edit church communications and correspondences. Example: marketing materials, and event/community service notifications.

· Provide administrative support for baby dedications.

· Process criminal record checks, child abuse, and FBI clearances for staff and volunteers.

· Schedule rooms for church events and meetings.

· Oversee office and vacation schedules.

· Enter and update information in Servant Keeper on a weekly basis.

· Maintain inventory of supplies.

II.

· Collaborate with the operations director and board of trustee to ensure that contracts, resource usage, and security and supplies are handled in compliance with policy.

· Team with the board of deacons to oversee the benevolence ministry. This includes holding

preliminary client interviews, evaluating client needs, and consulting with deacons or the pastor to make final decisions on allocation of funds/services and other benevolent resources.

· Collaborate with other area benevolent providers to maximize resources available throughout the community. Make client referrals to other churches or agencies, when appropriate.

MINIMUM QUALIFICATIONS/KNOWLEDGE SKILLS AND ABILITIES:

a. Acquired five to seven years relevant office/administrative experience. Associate degree in business preferred, office management, or related field.

b. Be a person of high integrity with a positive and caring attitude.

c. Be accessible, responsive, reliable, and flexible to handle the changing needs of the church and community.

d. Organized, scheduler with effective budgeting, and accounting compacities.

e. Proficient computer skills (Word, Excel, Power Point, Zoom) and able to operate office equipment.

f. Detail-oriented.

g. Excellent interpersonal skills.

h. Excellent oral and written communications skills.

i. Ability to handle stress and problem solve.

j. Ability to keep confidential and sensitive information.

k. A commitment to standing as a moral and upstanding representative of the church community.

l. Some familiarity with church protocol.

m. Must be able to pass background checks.

PHYSICAL DEMANDS AND WORK ENVIROMENT.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit or stand for long periods of time. This environment is usually low noise. The employee is required to stand; handle or feel; reach with hands and arms; and stoop and kneel. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 20 pounds.
