Full Job Description

Overview
Join our vibrant Landscape Architectural Design Office & Landscape installation firm as an Administrative Assistant and Project Manager, where your energy and organizational prowess will drive our projects forward and ensure seamless office operations. This dynamic role combines administrative excellence with project coordination and scheduling, offering a unique opportunity to contribute to inspiring outdoor spaces while managing day-to-day office functions. Duties

Provide exceptional front desk support and interactions with scheduling and managing clients accounts and meetings with professionalism and warmth
Oversee calendar management for project timelines, meetings, and appointments using Microsoft Office and Google Workspace tools
Handle data entry, filing, emails and document proofreading to maintain accurate project records and correspondence as well as assist the lead landscape architect project manager of the design office handling blueprints, plans management, permit applications, permit submittals , municipality communications and preparing plan packages for submittals, assist with production scheduling for the design department as well as help assist with typing up proposals etc.
Support bookkeeping activities using QuickBooks, including invoicing, proposals and expense tracking working directly under the CFO.
Coordinate project schedules, track deadlines, and assist with task prioritization to ensure timely completion of landscape projects
Facilitate communication between clients, vendors, contractors, and internal teams to streamline project workflows
Maintain organized office management systems, ensuring all supplies, files, and records are up-to-date and accessible
Provide customer support via phone and email, addressing inquiries promptly and professionally
Assist with clerical tasks such as typing reports, preparing presentations, and managing correspondence

Experience

Proven office/ project management or administrative experience in a professional setting
Familiarity with landscape design, construction or related fields is a plus but not required; enthusiasm for the industry is valued
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Docs, Sheets), and data entry skills
Experience with QuickBooks software is required for invoicing and proposals.
Excellent organizational skills with the ability to multitask effectively in a busy environment
Bilingual abilities not required.
Previous experience in customer service roles such as bookeeper, project manager or personal assistant enhances suitability for this position
Knowledge of phone etiquette, email etiquette, and phone systems ensures professional communication at all times

Responsibilities:
- General administrative assistant under the CFO / Design & Landscape offices , bookkeeping , prepare overhead reports, account analysis, cash flow, tracking and reconciliation of operating and payroll to ensure accuracy and completeness of financial records, general payroll and general payroll , Quickbooks office and Quickbooks online experience is a must.
- Assist with but not limited to accounts receivable, collections, payables, invoicing, vendor management, payroll, general payroll taxes, insurance certificates, request COI, help with proposals, estimates, invoicing, tracking, change orders, job costing, banking reconciliation of operating and payroll, accurate financial reports and budget projections, customer relations, payroll, human resources.
- Ability to prepare and understand budgeting projections by gathering and organizing financial information/ reports, profit / loss, with productive suggestions to principal and team with regards to projects.
- Assist the landscape design office and construction permitting a plus, communications with municipalities, owners , builders and vendors, applications, registrations , submittal applications for the landscape architect and installation team members and clients. Effective communication with clients, design office and managers with emails, phone calls, scheduling, and customer relations. Notary is helpful.

Qualifications:

- 5 years min experience with accounting software such as Quickbooks on microsoft windows, Quickbooks online, MS office, computer skills, banking, payroll, general state and federal tax employee and business filings, a must.
- Detail-oriented, highly motivated team player, strong knowledge of accounting principles and business practices for a small commercial business.
- Excellent attention to detail and accuracy in financial record keeping
- Problem solving ability, strong verbal and written communication skills, confident, motivated positive attitude, strong work ethic, able to prioritize, multi task, organized, deadline and detail oriented. Open to learning and adapting to the environment and our small business family as a team member.
- Effectively communicate with the principal, CFO, project managers and team on a daily/ weekly basis with financial reports, suggestive problem solving and collaboration to help lead this small desirable design firm further our financial growth and success.

- Autocad, Adobe, Bluebeam, powerpoint, or other programs not required but a plus to help the architecture team!

Full time negotiable salary dependent on qualifications and experience. B.A or associates in related field a plus but not required.

Pay: $55,000.00 - $70,000.00 per year
