Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role is designed for motivated individuals who thrive in a fast-paced office environment and are eager to support daily operations with enthusiasm and precision. As an Administrative Assistant, you will be the backbone of our office, ensuring smooth communication, efficient management of administrative tasks, and exceptional support to our team and clients. Your energy, attention to detail, and proactive approach will help foster a productive and welcoming workplace.

Duties

Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and word processing tools
Organize and maintain filing systems—both digital and physical—to ensure quick retrieval of documents
Assist with calendar management and scheduling appointments for team members and executives
Support office management activities by coordinating supplies, equipment maintenance, and facility needs
Provide excellent customer service by responding promptly to client inquiries and supporting client communication efforts
Handle clerical duties such as proofreading documents, preparing reports, and managing correspondence with strong attention to detail

Experience

Proven office experience or administrative support background demonstrating familiarity with office management tasks
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
Experience using QuickBooks or similar accounting software is a plus for handling basic financial tasks
Skilled in managing multi-line phone systems, phone etiquette, and professional communication skills
Bilingual abilities are highly desirable to support diverse client interactions and team collaboration
Demonstrated organizational skills with the ability to prioritize tasks effectively in a busy environment
Previous experience in customer service or front desk roles that involved client communication, data entry, filing, and time management
