Full Job Description

Job Summary
The Account Coordinator supports the day-to-day coordination, communication, and execution of customer projects and account activities. This role works closely with Account Managers, customers, internal departments, and vendors to ensure projects move efficiently from quote approval through production, purchasing, invoicing, and delivery. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple tasks in a fast-paced environment.

Key Responsibilities

· Account Coordinator works with daily customer account management and project coordination.

· Create and maintain project sheets, customer records, and job details within internal systems.

· Coordinate communication between customers, sales teams, production, purchasing, accounting, and vendors.

· Process customer forms, approvals, and required documentation.

· Review and verify purchase orders, pricing, vendor quotes, and shipping details.

· Monitor project timelines and ensure all required steps are completed accurately and on time.

· Support purchasing activities by preparing and processing purchase orders and vendor documentation.

· Track approvals and communicate updates to customers and internal teams.

· Assist with invoice matching, accounting coordination, and project closeout procedures.

· Manage and organize digital project files, quotes, artwork, and related documentation.

· Help resolve customer questions, order issues, and project changes promptly and professionally.

· Ensure all project information is accurate and updated throughout the job lifecycle.

· Support change order processing and maintain records of revisions and approvals.

· Assist with reporting, spreadsheets, and administrative tasks related to account management.

Qualifications

· Previous experience in account management, customer service, project coordination, or administrative support preferred.

· Strong organizational and multitasking skills.

· Excellent verbal and written communication skills.

· High attention to detail and ability to follow processes accurately.

· Ability to work collaboratively across departments.

· Proficiency in Microsoft Office Suite, especially Excel and Outlook.

· Experience with CRM, ERP, or project management systems is a plus.

· Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Preferred Skills

· Customer-focused mindset with strong problem-solving abilities.

· Ability to manage multiple projects simultaneously.

· Strong follow-up and time management skills.

· Comfortable handling sensitive customer and financial information.

· Experience working with purchasing, invoicing, or production workflows is beneficial.

Location

In Office. M-F.

Pay: $17.00 - $18.00 per hour
