Bid Coordinator / Operations Support Specialist

About DHC Demolition

DHC Demolition is a Florida-based commercial and residential demolition contractor delivering safe, efficient site clearing, structural demolition, and shoring services across the region. We're a growing team that values accountability, precision, and doing the job right the first time.

Position Summary

We're hiring a Bid Coordinator to own our estimating and proposal pipeline from RFP intake through submission — while also serving as a right hand to our Operations Manager on scheduling, administrative coordination, and day-to-day operational support. This is a hybrid role ideal for someone who thrives on organization, juggles multiple deadlines without dropping details, and wants exposure to every side of a demolition business.

Key Responsibilities

Bid & Proposal Coordination (primary focus)

Track incoming bid invitations, RFPs, and ITBs; maintain the master bid calendar and log
Review bid documents, plans, and specifications; flag key requirements, deadlines, and site visit dates
Coordinate site walks and pre-bid meetings with the estimator and field leadership
Solicit and organize subcontractor and vendor quotes; follow up to ensure timely responses
Assemble complete, accurate bid packages (proposals, qualifications, insurance, bonds, references, licensing)
Submit bids through client portals, email, and physical delivery when required; confirm receipt
Maintain the post-bid tracker (wins, losses, feedback) and organize handoff of awarded projects to operations

Scheduling & Operations Support

Support the Operations Manager in building and updating project schedules, crew assignments, and equipment allocations
Coordinate permit applications, utility disconnects, and required notifications with municipalities and clients
Communicate schedule changes to field supervisors, subcontractors, and clients
Track project documentation: contracts, change orders, COIs, lien waivers, and closeout packages

Administrative Support

Manage office correspondence, filing systems, and CRM/project management software
Prepare and process purchase orders, expense reports, and basic AP/AR items in coordination with accounting
Maintain vendor, subcontractor, and client contact databases
Assist with prequalification packages, insurance renewals, and license/bond documentation
Provide general administrative backup as needed (travel, meetings, ordering supplies)

Qualifications

Required

2+ years of coordination, estimating support, project admin, or office management experience — preferably in demolition, construction, or a related trade
Strong written communication and proofreading skills; comfortable drafting professional proposals and client correspondence
Highly organized with proven ability to manage multiple deadlines simultaneously
Proficient in Microsoft Office / Google Workspace (Excel/Sheets, Word/Docs, Outlook/Gmail)
Detail-oriented, self-directed, and able to work independently once trained

Preferred

Familiarity with construction bid platforms (BuildingConnected, Procore, iSqFt, BidPlanroom, PlanHub, etc.)
Working knowledge of Florida construction licensing, permitting, and insurance/bonding requirements
Experience reading construction plans, specifications, and scopes of work
Exposure to scheduling software (Microsoft Project, Smartsheet, or similar)
Basic understanding of demolition, shoring, or site work terminology
