POSITION SUMMARY
An established, privately held financial media and education company is seeking an experienced Finance Manager to own the accounting function across two related operating entities. This is a hands-on role: you will run the complete accrual-basis month-end close, produce accurate and internally consistent financial statements, deliver the recurring management reporting package leadership relies on, own intercompany allocations between the entities, serve as primary administrator of our QuickBooks Online (Enterprise/Advanced) environment, and act as the day-to-day liaison to our outside CPA firm — while strengthening the processes, documentation, and controls behind the numbers.
KEY RESPONSIBILITIES
Accounts Payable & Accounts Receivable
- Own the end-to-end AP and AR cycles for both entities: invoice intake, coding, approval routing, payment scheduling, customer invoicing, collections, and cash application.
- Maintain vendor master data, W-9 collection, and year-end 1099 preparation; monitor aging schedules and escalate past-due balances.
- Reconcile AP and AR subledgers to the general ledger each period and clear all variances.
Month-End Close, General Ledger & Accruals
- Manage and execute the monthly, quarterly, and annual close calendars for both companies on a predictable schedule.
- Prepare and post all GL entries — recurring, adjusting, reclassifying, and correcting — with retrievable supporting documentation.
- Produce a complete, internally consistent financial statement package — balance sheet, income statement, and statement of cash flows — that ties across all three statements and back to the underlying subledgers.
- Reconcile all balance sheet accounts (cash, credit cards, prepaids, fixed assets, accrued liabilities, deferred revenue, intercompany) and maintain an audit-ready workpaper file each period.
- Own the company’s accrual-basis model under GAAP: calculate and support all period-end accruals — payroll and PTO, commissions and bonuses, marketing and media spend, and professional fees — and maintain prepaid, deferred revenue, and depreciation/amortization schedules so revenue and expense land in the correct period.
- Own the chart of accounts, class/location tracking, and reporting mappings; document accrual methodology and assumptions so estimates are consistent and defensible period over period.
Multi-Entity Accounting & Intercompany Allocations
- Maintain complete, separate books and standalone financial statements for two distinct legal entities.
- Own intercompany allocations end to end: develop, document, and consistently apply the methodology used to allocate shared costs — payroll, technology, marketing, facilities, and general overhead — between entities, and revisit allocation drivers as the business changes.
- Record and reconcile all intercompany activity, including due-to / due-from balances and shared-services charges; confirm intercompany accounts eliminate and net to zero each period.
- Prepare combined and consolidated reporting for leadership, and keep entity separation clean for legal, tax, and compliance purposes.
Management Reporting & Analysis
- Deliver the recurring monthly reporting package on a committed schedule once the close is finalized, including vendor variance and spend analysis, employee credit card and expense reimbursement reporting, one-time and non-recurring expense summaries, department-level budget-to-actual, payroll and headcount reporting, and cash position reporting.
- Explain material variances in writing — the driver and the recommended action, not just the number.
- Maintain recurring dashboards and KPI reporting; support the annual budget and periodic reforecasts; respond to ad hoc leadership requests with decision-ready analysis.
- Serve as the primary day-to-day liaison to the company’s external CPA firm for both entities — coordinating the annual close hand-off, responding to open items, and keeping engagements on schedule.
- Prepare and deliver the year-end workpaper package (trial balances, reconciliations, roll-forwards, allocation support); support income tax return preparation, extensions, and estimated payments, and implement CPA-recommended adjustments.
- Support and maintain state registrations across all operating jurisdictions, coordinating registered agent relationships, annual reports, franchise taxes, and associated filing fees; maintain a filing calendar with enough lead time to prevent penalties or lapsed registrations.
- Assist with sales and use tax, business license, and other regulatory filings, including monitoring economic nexus thresholds, and support documentation requests from payroll providers, lenders, and insurers.
Systems, Internal Controls & Process Improvement
- Act as primary administrator and power user of QuickBooks Online (Enterprise/Advanced): user permissions, app integrations, workflow rules, and data hygiene.
- Document and maintain written accounting policies and SOPs for the close, AP/AR, expense reimbursement, corporate card usage, and approval authority.
- Identify control gaps and implement right-sized safeguards — approval thresholds, review and sign-off evidence, segregation of duties where feasible — and implement automation that reduces manual effort and shortens cycle time.
REQUIRED QUALIFICATIONS
- Bachelor’s degree in Accounting, Finance, or a closely related field.
- Five or more years of progressive accounting experience, including at least two years in a senior accounting role with full ownership of the month-end close (Finance Manager, Accounting Manager, or equivalent).
- Demonstrated ownership of a full-cycle month-end close and preparation of a complete accrual-basis financial statement package.
- Hands-on experience accounting for multiple legal entities, including intercompany transactions, allocations, and eliminations.
- Working proficiency in QuickBooks Online (Enterprise/Advanced) — our system of record; required. Advanced Excel and/or Google Sheets skills.
- Experience preparing year-end workpapers and working directly with an external CPA firm; strong GAAP knowledge across AP/AR, accruals, prepaids, deferred revenue, fixed assets, and balance sheet reconciliation.
- Exceptional accuracy and a proven habit of self-review; clear communication with non-financial stakeholders; high discretion with confidential information.
- Ability to work independently and remotely, manage competing priorities, and meet a fixed close calendar with minimal supervision.
PREFERRED QUALIFICATIONS
- Small to mid-sized or entrepreneurial environment where the accounting function is lean and ownership is broad.
- Subscription, SaaS, digital media, e-commerce, or financial education/publishing business models, including recurring billing and deferred revenue.
- Multi-state registration and nexus experience; implementing accounting systems, AP automation, or expense management platforms; supporting payroll through a third-party provider.
