Full Job Description

Position Summary

The Call Center Manager oversees the daily operations of a high-volume, multi-specialty healthcare call center. This position is responsible for staff performance, patient service, scheduling accuracy, call flow, and ensuring appropriate coverage to support multiple providers, specialties, and locations.

Essential Duties and Responsibilities

Manage daily call center operations, staffing, workflow, and coverage.
Monitor call volume, wait times, abandoned calls, hold times, productivity, and other key performance metrics.
Adjust staffing and assignments throughout the day based on call volume and operational needs.
Ensure patients receive timely, professional, and accurate assistance.
Oversee appointment scheduling and ensure staff follow provider and specialty-specific scheduling protocols.
Monitor scheduling accuracy, call quality, and patient service standards.
Recruit, train, supervise, coach, and evaluate call center employees.
Establish clear expectations for productivity, attendance, quality, and professionalism.
Address performance, attendance, and behavioral concerns promptly and consistently.
Identify trends, workflow issues, and opportunities to improve efficiency and patient access.
Work closely with office managers, clinical teams, providers, and leadership to resolve scheduling and patient access concerns.
Ensure patient messages and clinical concerns are routed appropriately and timely.
Maintain HIPAA compliance, patient confidentiality, and accurate documentation.

Qualifications

3+ years of healthcare call center, patient access, or medical scheduling experience preferred.
Previous supervisory or management experience required.
Experience in a high-volume, multi-provider or multi-specialty environment strongly preferred.
Strong leadership, communication, organizational, and problem-solving skills.
Ability to monitor performance metrics and hold staff accountable to established standards.
Experience with electronic medical records, scheduling systems, and call center technology.
Ability to effectively manage competing priorities in a fast-paced environment.
