SIXIN Chemical North America provides chemical solutions that control and eliminate foam in industrial processes. Its products include silicone-based, polyether-based, oil-based, powder, and water-based defoamers used across many applications. The company combines research, formulation, manufacturing, and technical support to help customers optimize their operations with cost-effective and efficient foam-control solutions.

Job Title: Administrative Assistant (Bilingual – English/Mandarin Chinese)

Department: Administration / Operations Support
Reports To: Operations Manager
FLSA Status: Non-Exempt
Location: Remote: Possible Hybrid in the future
Schedule: Flexible hours required to support East Coast manufacturing operations

Position Summary

The Administrative Assistant provides comprehensive administrative and operational support to company leadership and manufacturing operations. This role requires fluency in both English and Mandarin Chinese to facilitate communication with internal teams, suppliers, customers, and manufacturing facilities.

The ideal candidate is highly organized, detail-oriented, trustworthy, and able to manage confidential information with discretion. Flexibility in working hours is required to support coordination with manufacturing operations located on the U.S. East Coast.

Essential Functions and Responsibilities

Administrative Support

Provide general administrative support to leadership and operations teams
Manage calendars, schedule meetings, and coordinate travel arrangements
Prepare correspondence, reports, and presentations in English and Chinese
Maintain organized filing systems (electronic and physical)
Assist with expense reports, invoices, and document processing
Knowledge of Chemical Productions in a manufacturing environment (PVC, Pulp and Paper, Defoamers)

Bilingual Communication & Coordination

Translate written documents and verbal communications between English and Mandarin Chinese as needed
Support communication between corporate offices and East Coast manufacturing facilities
Coordinate meetings across time zones and ensure timely follow-up
Assist with supplier and customer communications

Operational Support

Support purchasing, logistics, and production-related documentation
Track orders, shipments, and project timelines
Assist with data entry and report preparation
Help ensure documentation accuracy and completeness

Work Schedule & Flexibility

Must be willing to adjust work hours as needed to align with East Coast manufacturing operations
Occasional early morning or later evening availability may be required depending on operational needs

Required Qualifications

Fluency in both English and Mandarin Chinese (written and verbal)
2+ years of administrative or office support experience
Strong organizational and time management skills
High level of integrity and ability to handle confidential information
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Strong communication and interpersonal skills

Preferred Qualifications

Bachalor Degree
Experience supporting a manufacturing or industrial environment
Familiarity with production, logistics, or purchasing processes
Experience working across multiple time zones

Work Environment
