Global Orthopedics is a small medical-device distribution company, supporting spine surgeons and hospitals throughout the Las Vegas area. We distribute spinal implants, surgical hardware, biologics, and related products used in spine procedures, and work closely with surgeons, hospital systems, medical device manufacturers, biologics vendors, and independent sales representatives.
We are looking for an exceptionally organized, detail-oriented Medical Device Operations & Office Manager to help coordinate the administrative and operational side of the business.
This is not a traditional medical office manager position. There is no patient scheduling, insurance billing, or front-desk management. Instead, the role involves coordinating surgical case logistics, hospital purchase orders, vendor documentation, inventory and surgical trays, representative credentialing, commissions, and financial records.
The right person does not need previous spine experience, but must be comfortable managing multiple moving pieces, spotting discrepancies, meeting deadlines, and following a process from beginning to end.
What You'll Do
Surgical Case & Product Coordination
- Track upcoming surgical cases and associated equipment and product requirements
- Coordinate with sales representatives to make sure surgical trays, hardware, biologics, and other products are available when needed
- Help ensure trays and equipment arrive at hospitals with adequate time for processing and sterilization
- Track equipment and products leaving and returning to the office
- Identify missing, outstanding, or mismatched items and follow through until resolved
Purchase Orders, Invoices & Reconciliation
- Track hospital purchase orders associated with surgical cases
- Match purchase orders with case documentation, vendor reports, invoices, and internal records
- Identify discrepancies and communicate with hospitals, vendors, or representatives as needed
- Assist with tracking accounts receivable and outstanding documentation
- Maintain accurate records of vendor commissions and representative commissions
- Work with company leadership, the bookkeeper, and CPA to ensure information is complete and accurate
Hospital & Vendor Administration
- Communicate with hospital purchasing departments, vendors, surgeon offices, and sales representatives
- Maintain hospital contracts, account information, and required documentation
- Track representative credentialing and hospital compliance requirements
- Monitor deadlines and follow up proactively before an issue affects a surgical case
Operations & Process Improvement
- Maintain accurate operational tracking systems
- Help consolidate and improve existing spreadsheets and workflows
- Assist in transitioning repetitive manual processes into more efficient digital and automated systems
- Create clear processes so important information is not dependent on one person's memory
- Identify opportunities to improve accuracy, efficiency, and visibility across the business

Especially Valuable Experience:
Experience in any of the following is a plus, but not required:
- Medical device or surgical product distribution
- Hospital purchasing or supply chain
- Healthcare operations
- Surgical scheduling or operating room coordination
- Medical device inventory or surgical tray management
- Vendor management
- Purchase order and invoice reconciliation
- QuickBooks
- Hospital vendor credentialing
- Commission tracking
Previous spine or orthopedic experience would be particularly valuable.
About You
The ideal candidate is intelligent, resourceful, highly organized, comfortable asking questions, and willing to take ownership of a process. You should enjoy figuring out how the pieces fit together and improving systems rather than simply completing a checklist of assigned tasks.
Because we are a small company, everyone occasionally helps outside of their primary responsibilities. Flexibility, judgment, and a collaborative attitude are important.
Compensation: $50,000–$70,000 per year, depending on experience.
Schedule: Primarily Monday through Friday. Because our business supports scheduled surgical procedures, occasional time-sensitive issues may require attention outside normal business hours.
