Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, enhance communication, and foster a productive work environment. This paid position offers an exciting opportunity to develop your skills in office management, customer service, and technical proficiency while contributing to a vibrant team.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee office supplies inventory, place orders, and maintain organized filing systems for easy access to documents
Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for data entry, document creation, and communication tasks
Handle scheduling and calendar management for team meetings, appointments, and client engagements
Perform bookkeeping duties using QuickBooks or similar accounting software to track expenses and process invoices
Assist with client communication by providing excellent customer support via phone, email, or in person
Support office management tasks such as proofreading documents, maintaining spreadsheets, and ensuring overall productivity

Experience

Proven clerical experience in an office setting with strong organizational skills
Familiarity with office management software including Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
Excellent computer literacy with proficiency in data entry, word processing, and spreadsheet management
Prior experience working in customer service or front desk roles with strong phone communication skills and professional phone etiquette
Bilingual abilities are highly desirable to support diverse client needs
Experience as a medical or dental receptionist or personal assistant is a plus but not required
Demonstrated ability to multitask efficiently while maintaining accuracy and attention to detail
